Front Desk Coordinator

**KEY RESPONSIBILITIES**
**Front Desk/Office Admin**
- Greeting external guests and colleagues with a positive and helpful attitude, and maintaining a presentable main entrance area
- Managing incoming calls and directing them to the appropriate staff members
- Coordinate logistics for internal and external meetings - scheduling, setting up boardroom before and after meeting, boardroom calendar management, coordinate catering requests
- Oversee distribution of incoming/outgoing mail and deliveries in a timely and time sensitive manner
- Maintain office and kitchen inventory/servicing
- Work with building Property Management to address and oversee repairs and maintenance
- Organize and coordinate office operations, addressing any pertinent issues to the Director, Office Operations
- Maintain filing system, contact database, employee list, and inventory
- Support HR and IT with onboarding new employees
- Assist with the coordination and execution on in-office events
- Collaborate with all business units to provide in-office support
- Performing ad-hoc administrative duties as needed
**REPORTING LINES**:
This position reports to the Director, Office Operations.
**Requirements**:
**KEY QUALIFICATIONS**:
- College graduate or equivalent
- 1-3 years' experience in office coordination/assistance
- Proven ability to manage multiple tasks/activities in a dynamic fast-paced environment
- Experience with Microsoft Office, and specifically with Word and Excel
- Excellent interpersonal and communication skills
- Aptitude for learning new software and systems
- High degree of attention to detail
- Strong problem-solving, sound decision making and good judgement
- Ability to work with mínimal supervision

**LOCATION**:
This position will be based out of the Toronto office and requires the individual to be in the office five (5) days a week. Office hours are Mon-Thurs 8:30 am to 5 pm, Fri 8:30 am to 4:00pm.
