**Job Opportunity**
The **Corporate Office Administrator** provides high-level administrative support to the corporate office, assisting executives, managers, and employees in a variety of administrative tasks. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with professionalism and discretion. The Corporate Office Administrator must also demonstrate agility and adaptability in managing an ever-evolving workload and shifting priorities within a dynamic, fast-paced environment.
Your contributions will ensure the smooth and efficient operations of not just the corporate office, but other Ballad locations as well. You'll be at the heart of effective communication with internal and external stakeholders, maintaining office organization, and performing a wide range of administrative duties. As part of our corporate services team, you'll help us achieve our goal of maximizing positive impacts and minimizing negative ones in our day-to-day operations and business decisions.
This position reports to the Operations Supervisor and is based at our vibrant Edmonton Training Center in Energy Square. We’re excited to welcome a new team member who shares our commitment to excellence and innovation.

**Key Responsibilities**:
- Maintain and organize corporate files, records, and documents, ensuring easy retrieval and confidentiality.
- Assist in the preparation and coordination of corporate events, conferences, and seminars.
- Process expense reports, invoices, and purchase orders, ensuring accuracy and adherence to company policies.
- Coordinate with internal departments and external vendors for various administrative needs, such as office supplies, equipment maintenance, and repairs.
- Act as a point of contact for employees, providing information and assistance on company policies, procedures, and general inquiries.
- Ability to manage multiple tasks and projects at the same time, shifting focus as needed to address urgent or unexpected requests from staff and external partners, while maintaining composure and prioritization skills when dealing with competing demands on time and attention.
- Manage office inventory, including supplies, equipment, and stationary, and reorder as necessary.
- Schedule classrooms, workspaces, and vehicle usage to maximize capacity
- Ensure all clients and staff have required learning equipment and technology
- Support HR department in administrative tasks, such as employee onboarding.
- Assist in the coordination and execution of special projects as assigned by executives or managers.
- Maintain a professional and welcoming office environment, ensuring cleanliness and organization.
- Coordinate all outgoing shipments
- Product research and price comparison for purchases under $500
- Coordinate travel arrangements, including flights, accommodations, and transportation for executives and managers.
- Uphold and promote company values, ethics, and standards in all interactions and tasks.
- Leading the initiative to acknowledge employee achievements across the organization, ensuring staff milestones are being recognized throughout the workplace.
