**Opportunity
- Project Administration Assistant**

The Project Administrator assists and supports the Project Administration Manager with administrative activities required to efficiently deliver successful preconstruction and construction projects. This role will act as back-up support for the wider project support team and tasks will vary. This role will give exposure to construction processes, accounting processes, business process management, and general office administration.

**Position Responsibilities**
- *Including but not limited to:_

**Project Set Up**: Back-up support for the Project Administration Manager to create and set up new projects.

**Reports**: Generate, review and action regular administrative review reports to ensure compliance with DORA processes and Project Management Critical Processes framework.

**Document Management**:Ensure that project-related documentation is recorded in a secure and retrievable way.

**Vendor Maintenance**: Maintain vendor directory and contacts, including keeping WCB, Insurance, and Safety documentation current. Build records of feedback after project completion to help future jobs with procurement.

**Tendering**: Create and issue tender packages and organize quotes for trade packages.

**Purchase Orders**: Create purchase orders, review draft purchase orders, and ensure they are completed, approved and sent to accounting.

**Reviewing Vendor Invoices**:Back-up support for the project support team to review incoming vendor invoices against commitments to verify them for payment.

**Submittal Management**: Create Submittals Required Logs, sourcing submittals and ensuring timely approvals are received.

**Billings**: Assemble backup for client monthly billings.

**Project Close Out**:Compile handover manuals for Owners, obtaining necessary paperwork for Occupancy permits, etc. Reconcile commitments and costs on the project to generate a final close out cost report.

**Job Requirements**
- 3 years’ Experience in Business Administration or similar process related environment
- Ability to multi-task and ability to work in a fast-paced environment.
- Construction experience is an asset.
- Ability to independently or as part of a team

**Salary**

Negotiable based on experience.
