The Office Manager is responsible for the implementation of policies, procedures, and processes that optimize the experience of all clinic visitors. As a culture leader for the clinic team, they lead by example through refined relationship building, respect, and interpersonal skills. The Office Manager ensures the clinic regulation compliance and effective operations through efficient scheduling and strong inventory management. They play an active part in the ongoing strategy of Satori by providing regular metrics and reporting on all clinic operations.
**Role Responsibilities**:
Administration
- Policy and procedure management: determine policy updates and new policies or procedures needed and coach team on implementation
- Assists senior management with planning and/or regulatory compliance
- Manage clinic HR needs; recruit, train and provide performance management and evaluations for team members
- Ensures PIA, HIA, CPSA and other regulatory compliance
- Keep informed of new clinic and healthcare regulations
- Maintains office efficiency through highly organized operations and procedures, reviewing and submitting supply requisitions and equipment procurement
- Manage internal and external communications, answering questions about the clinic
- Oversee daily clinic operations which includes: EMR oversight and guidance
Data and statistics reporting to Executive
Billings and A/R
Monitor inventory of medical supplies and restock as necessary
Liaise with medical professionals to provide a positive practice experience Patient care
- Ensure provision of exceptional client care
- Greet and direct patients to appropriate medical resources
- Time sensitive support of provider requests
- Manage and update patient files
- Point of contact for client satisfaction or concernsLeadership
- Implement and monitor office policies by establishing standard and procedures; measuring results against standards; making necessary adjustments.
- Team supervision and performance management
- Commitment to building the company and brand
- Manage physician relations
- Point of contact for client satisfaction or concerns **Desired skills & qualifications**:
- Minimum 3 years experience in a healthcare setting, ideally in family practice or primary care clinic
- Minimum 3 years experience in a medical office assistant or medical office support staff role
- 1-3 years experience in a supervisory, team lead or manager position
- Experience in a physician liaison role would be an asset
- Polished and professional communication skills
- Excellent planning and prioritizing
- High degree of accuracy and attention to detail
- Strong skills in collaborating with team members and Practitioners
- Drive to provide an exceptional patient first experience
- Interest in collaborative care practice
**Job Types**: Full-time, Permanent
**Salary**: $23.00-$26.00 per hour
