Sport Tourism Coordinator

**Position Description**:
Responsible for securing and facilitating the successful delivery of sport events in Nanaimo by collaborating with City of Nanaimo, Tourism Nanaimo, community partners, including area hotels, sports venues, and event organizers. This role involves developing annual events during need periods to drive sustained social, sports, and economic impact for the community, aligning closely with the overarching sport tourism strategy. Additional responsibilities include administrative tasks and consistent reporting.
**Position Responsibilities**:
- Request for Proposal (RFP) Coordination - creation of comprehensive bids, proposals and presentations in partnership with the City of Nanaimo, and local organizations.
- Build brand awareness through the identification of marketing opportunities and work with the Director of Marketing on these initiatives.
- A strong focus on relationship development with sport organizations within Nanaimo
- Establish and maintain relationships with local partners including City of Nanaimo staff, City facilities, hotels, regional municipalities, community sport partners and academic institutions.
- Generate and manage leads, foster relationships with local, provincial and national sport organizations
- Assist in the planning and attendance of conferences, such as Sport Events Congress to prospect new events, establish, cultivate and steward relationships and act as an ambassador for Tourism Nanaimo
- Facilitate site visits and venue tours
- Track and report on KPI’s including lead status, economic impact, and revenue generation
- Maintain a current events calendar for Sport Committee to support schedule management, hosting capacity and alignment
- Sit on and attend local organizing committee (LOC) meetings as required on behalf of the Tourism Nanaimo
- Liaise between LOC’s and Tourism Nanaimo to provide support in the areas of accommodations, destination offerings.
- Work collaboratively with City of Nanaimo departments, and the Business Development, Marketing & Communications and Administration teams at Tourism Nanaimo
- General Reporting for Destination BC and MRDT under the direction of the Executive Director
**Position Skills**:
- A demonstrated understanding of the regional, provincial and national sport landscape
- Strong understanding of local venue capabilities
- Ensure Customer Relationship Management (CRM) software is up to date with partner and event data for reporting on KPI’s
- Ability to prioritize annual outputs via the overarching Sport Strategy
- Detail oriented and highly organized, with strong project and time management skills
- Understanding of the role a Destination Management Organization in the sport hosting industry
- Ability to build and nurture relationships with external partners
- Ability to work independently with mínimal supervision and meet key performance indicators
- Adaptable to a changing and dynamic work environments
- Ability to work collaboratively with a variety of individuals and agencies across Nanaimo, nationally and internationally
- Excellent interpersonal, verbal and written communication, organizational, presentation and leadership skills, with an ability to work effectively in a highly collaborative environment to achieve results
**Experience / Education Requirements**:
- Post-secondary education, with a degree in Sport, Recreation, Event Management, Tourism or a related field preferred
- Minimum 2-4 years’ experience in the field of sport and event management required
- Experience working with a variety of government, sport and community partners
- Experience in budget management and report writing
- Familiarity of Nanaimo region considered an asset
- Experience in utilizing Customer Relationship Management (CRM) software and/or database management
**Considerations**:
- Event delivery will require physical demands including supporting event setup and teardown
- Monday to Friday schedule with the ability to work evenings and weekends (due to travel and events)
- Frequent travel within Nanaimo Region and access to reliable transportation, a valid driver's license and clean driving record is required.
- Occasional travel outside of the Region may occur, potentially requiring a valid passport.
