**Job Description**:
The Receptionist is a client
- facing Guest Services professional who delivers an on-brand Visitor Welcome Experience to our Toronto office. Reporting to the Team Lead, the Receptionist is responsible for greeting visitors and answering a multi-line telephone. They are also responsible for meeting room management, Guest Services coordination, event planning, taxi and limo account management, office services administration support, and ensuring a seamless delivery of a diverse range of services to all CPP Investments’ guests and employees.

Participating and engaging in broader Facilities & Office Services initiatives and meetings is also required.

The Receptionist is responsible for frequent ad-hoc projects and must be flexible and agile in fulfilling these requests to support the department and business needs. They will also provide other administrative and operational assistance to the entire Office Services department,

working collaboratively with the other Receptionists, they share the responsibility of seamlessly running the reception desk and lobby area. In this shared position, the Receptionists reinforce CPP Investments’ position as a global investor and will strongly reflect our Guiding Principles of Integrity, Partnership, and High Performance. This is a 2 month contract role.

**Responsibilities**:

- Works alongside the other Receptionists to proactively assume equal responsibility for reception operations.
- Greets and registers all visitors, vendors, and new hires to the CPP Investments Toronto, One Queen office.
- Answers all incoming switchboard phone calls and redirects as necessary. Ensures that all phone inquiries are handled efficiently, politely, and with confidentiality.
- Coordinates with Facilities & Office Services team for new hire access card pickup and contacts Managers to greet them at Reception.
- Triages front line issues involving employees as well as external guests. (Contact is daily, frequent, and continuous).
- Executes client-facing support to hosts and their guests for meetings. Assists with miscellaneous administrative tasks for Facilities and Office Services.
- Remains available for coordination and support during scheduled meetings which will require flexibility in start and departure times.
- Resolves issues in a professional manner relating to the Guest Services team and space.
- Collaborates with the Team Lead, and helps with all aspects of coordination for conferences, special events, and board meetings held within the Guest Services space i.e. food, beverages, supplies, vendor staff etc.
- Runs small projects or initiatives end to end, identifying and escalating issues, and meeting stakeholder requirements.
- Completes nightly metrics to capture data on meeting room utilization and visitor volume. Notes important or significant meetings for monthly reporting.
- Reviews, processes, and codes invoices for payment approval based on specific Accounting guidelines and templates.
- Manages and maintains all documents related to reception operation.
- Engages in a variety of support requests including facilities and building requests, transportation requests, courier/mail requests coordinating last minute room bookings, coordinating tech support requests, coordinating meeting room service requests.
