**PURPOSE OF POSITION**:
This position reports to the Resources Program Manager and provides financial support to the Resources and Guardianship programs. The Accounting Clerk is responsible for financial management of daily accounting tasks and is responsible for the Resources program and payment system for caregivers. This position also participates in training and instruction as directed and other work may be assigned consistent with the qualifications and experience within the Grid 15 classification. Key responsibilities include but not limited to:
**KEY DUTIES & RESPONSIBILITIES**:
- Monitor contract procedures and ensure contract terms are accurate before requesting for signature and to check and verify information to ensure payment matches contract.
- Ensure invoices are processed on a regular basis for children who are placed in resources outside the region and/or outside BC.
- Code, track and monitor one-time-only (OTO) payments and print emergency (OTO) cheques to meet urgent needs of caregivers and children.
- Complete approval form and enter it into the RAP system.
- Monitor rental agreements to keep current; pay rent as scheduled.
- Stop payment to foster homes as requested.
- Make enquiries in financial systems to determine payment status, ensure payment has not already been processed and maintain accurate records, documentation and update relevant contract files with payment information.
- Work with the Finance department to complete Resources RAP payment every month in a timely manner, forward control sheet to Finance on a regular basis and inform Finance when invoices are submitted and paid.
- Complete or modify contracts based on information provided by the Manager and Resources workers.
- Verify use of correct chart of accounts.
- Set up and implement a tracking system to ensure invoices are paid on a quarterly basis.
- Prepare reports as required.
- Produce invoices for DAA on a quarterly basis.
- Track one-time-only expenditures for Children in Care (CICs).
- Ensure cheque requests are processed in a timely manner and all back approvals and receipts are in place.
Reconcile contract payment information.

**Qualifications**:
**Required**:
- Minimum 2-year Accounting Diploma; and
- Minimum of 5-years experience with A/P, A/R, payroll, invoices, bank and GL account reconciliations; and
- Payroll certificate preferred; or willingness to obtain
**Preferred**:
- Recognized Payroll Certificate
- Experience with Great Plains and Payworks
