**JOB OVERVIEW**

The Administrative Assistant supports the activities of the E.O.T.B. and its N.E.W.S. program by performing clerical and reception duties. They collaborate with the team to assist newcomers in achieving their employment and settlement goals. Additionally, the assistant will help organize, participate in, and facilitate activities, events, and workshops, as well as perform other duties as required.

**RESPONSIBILITIES**
- **Reception Duties**:

- Greet walk-ins, answer questions relating to our programs and assess basic eligibility
- Assess client needs, in person or by phone and refer them to suitable program(s)/service(s)
- **Administrative Duties**:

- Maintain and organize files, documents and other info for contract compliance
- Make meeting arrangements
- Develop and maintain databases
- Data entry
- Ensure that the reception area and facilities are well maintained and necessary resources are available; order supplies as needed
- Assist with scheduling of periodic team meetings, agenda preparation, hospitality and documentation for meetings
- Maintain an inventory of resources relating to community services, ensure that up-to-date information is available and well-organized
- Assist with organizing events, workshops, job fairs, and other initiatives
- Other duties as required

**SKILLS**
- Strong organizational skills and ability to manage a variety of responsibilities concurrently
- Ability to set objectives, plan work in advance, prioritize and meet deadlines
- Strong analytical and problem-solving skills
- Ability to respect confidential information
- Demonstrated knowledge of community resources
- Ability to liaise with various community agencies including employment centres, social service agencies, government agencies, education facilities in support of client support.
- Well-developed relationship building, communication and presentation skills
- Sensitivity to client information - both employment program clients and newcomer clients
- Ability to work effectively in a team environment

**QUALIFICATIONS**
- Completion of post-secondary education from a recognized institution in a related field
- Minimum of 2-5 years of experience in office administration
- Combination of education and experience in a related field
- Bilingual (French and English, spoken and written)
- Ability to speak other languages would be an asset
