**ADMINISTRATIVE SPECIALIST**
We are seeking a highly organized and resourceful **Administrative Specialist** to provide strategic support to the CEO and CFO and their teams. In this role, you will act as a trusted business partner—managing calendars, coordinating travel, supporting board and committee work, and ensuring smooth information flow across the organization. You will play a key role in enabling leadership success through strong communication, attention to detail, and proactive problem-solving. This role can work in office, or hybrid.
**The Job**
As an Administrative Specialist, you will provide high-level support to senior leaders by managing calendars, coordinating travel, and ensuring they are well-prepared for meetings and commitments. You will play a key role in supporting board and committee operations, including preparing agendas, reports, and presentations, and managing event logistics.
You’ll also oversee the flow of information by drafting and editing communications, preparing materials, and prioritizing requests on behalf of leaders. In addition, you will support financial processes through expense management and budget monitoring, while also contributing to organizational readiness through the Emergency Response Team Plan. Your ability to anticipate needs, resolve challenges, and represent leadership with professionalism will be central to your success.
You have completed post-secondary education in office administration or a related field and bring at least one to two years of relevant experience. You are highly skilled with Microsoft Office and other business tools, and you have the ability to troubleshoot technology as needed. With an understanding of basic accounting principles, you can confidently manage expenses and monitor budgets.
You are known for anticipating needs—whether by preventing potential challenges before they arise or by recognizing the unique preferences of the leaders you support. Adaptable and resourceful, you are able to juggle multiple priorities with sound judgment and discretion. Your communication skills, both written and verbal, are exceptional, and you take pride in representing leadership with professionalism and integrity. Above all, you are relationship-focused and trusted to navigate sensitive information with the highest level of confidentiality.
