The Receptionist will be a dynamic and organized individual responsible for providing administrative support to the Calgary location of Vitrum Glass Industries. This role will focus on managing day-to-day office operations, providing exceptional customer service, assisting with administrative tasks, and coordinating events, all while ensuring smooth and efficient operations.
**Key Responsibilities**:
**1. Administrative Support**:

- Answer incoming phone calls, direct inquiries, and provide basic information to customers and team members.
- Greet visitors and customers in a professional and welcoming manner.
- Handle mail distribution and ensure timely delivery of all correspondence.
- Assist with purchasing, including matching invoices with purchase orders and tracking expense reports.
- Maintain and organize office supplies and equipment.
- Assist shipping department with paperwork and pick up orders.

**2. Office Operations Coordination**:

- Coordinate receiving of deliveries and ensure items are accurately logged and distributed.
- Assist with customer visits, including organizing food, snacks, drinks, and other accommodations to ensure a positive experience.
- Help with organizing and coordinating company events, both internal and external, ensuring all logistics are handled smoothly.
- Coordination of customer template orders and creating files for programmers.

**3. Customer Service and Communication**:

- Serve as a first point of contact for visitors and customers.
- Manage communication between departments to ensure accurate and timely information flow.
- Keep office area clean, organized and tidy.

**Required Qualifications**:

- Proven experience in an administrative support or office coordination role.
- Excellent organizational and multitasking skills.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Teams).
- Ability to handle confidential information with discretion.
- Strong attention to detail and problem-solving abilities.
- Professional demeanor and positive attitude.

**Preferred Qualifications**:

- Previous experience in a manufacturing or industrial environment.
- Experience with invoicing or basic accounting functions.
- Knowledge of office management procedures and the ability to adapt to changing environments.
- Experience as administrative assistant or receptionist.

**Work Environment**:

- The Office Coordinator will be based at the Vitrum Glass Calgary location, working in a fast-paced, collaborative office environment.
- Hours worked are typically Monday to Friday from 8:00 am to 4:30 pm.
