**Job description**
**Responsibilities**
- Communicate with purchasers, other agents and service providers throughout the closing process
- Responsible for keeping the entire team updated on the progress of all contracts
- Responsible for processing contracts through closing
- Assures all post-closing disbursements, filing and procedures take place
- Prepare amendment statement of purchase sale
- Facilitation of booking process for all showing and appointments for purchasers at building locations
- Advises team members if they need to become involved in negotiations or problem resolution
- Implementation and distribution of daily sales reports
- Maintain all vendor and service provider files
- Responsible for effective communication with clients to ensure that fiduciary service is delivered from contract to close
- Manage and maintain positive relationships with clients at the sales office
- Greet and assist walk-ins at the sales office
- Provide administrative support to the Sales Manager.
- Create and update sales reports, including deposit reporting.
- Ensure filing system is maintained; audit files regularly to confirm all documentation is up to date for closings.
- Liase with external legal team
- Work closely with lawyers to draft, and confirm the accuracy of, legal documents used to complete sales transactions.
- Oversee broker commissions process, from invoice approval through payment
- Ensure Financial obligations to lenders are met
- Implement price increases.
- Track Tarion critical dates and prepare correspondence to purchasers
- Produce and maintain sales reports for stakeholders
- Manage team of sales office administrators
- Establish, direct, and implement operational policy and procedures for administrative functions
- Review statements of adjustments and coordinate release of keys to owners
- Train new sales office administrators (if required)
- Prepare agreements of purchase and sale and amendments, if required.
- Other administrative duties as assigned
**Qualifications**
- Minimum 3 years of experience in the real estate industry required
- Minimum 3 years of experience in Office Administration
- Proficient in creating project plans and deliverables for accuracy and timelines.
- Highly organized and able to multi-task in order to manage diverse workloads of oneself and other team members, with competing timelines.

- Excellent verbal and written communication skills
- A self-starter who takes initiative and anticipates needs

- Able to be flexible and adapt to a fast-paced working environment
- Proficient in G-Suite, Microsoft Office, DocuSign
**Compensation**:
- $48,000, two weeks of vacation, H&D benefits, + bonus
