Guest Services Coordinator

**Responsibilities**:
- Schedule and participate in client activities and outings local to the Vancouver Island for various interests and mobility levels.
- Co-ordinate client visits with family members/friends in accordance with Nōmina’s policies and procedures.
- Flexibility and strong leadership skills are key
- Scheduled hours may vary, with hours worked. Includes evenings and week-ends.
- Prepare client binders and process intake documents for incoming clients in advance of their arrival - attention to detail and compliance is required.
- Do client intakes as part of the admissions process in accordance with Nōmina’s policies and procedures.
- Support Client Relations as needed to co-ordinate arrangements and arrivals for incoming clients.
- Accurately record information as required.
- Photocopying, filing, data entry support as needed.
- Provide support with respect to the calendar of incoming and departing clients to ensure there are no overlaps and to be able to report the availability of beds when asked.
- Reconcile receipts and provide bookkeeping support as required.
- Track incidental expenditures.
- Co-ordinate travel arrangements
- Provide support and service to clients as requested while adhering to Nōmina’s policies and procedures.
- Schedule client appointments as required and drive clients to and from appointments if necessary.
- Co-ordinate client phone calls or Zoom calls or other client appointments as required.
- Provide cross training and orientation to new hires if or as applicable.
- Assist in co-ordinating staff and staff scheduling as needed.
- Provide additional HR supports as required.
- Provide support to the clinical team and/or support team members as needed.
- Valid Driver’s License is a requirement.
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Education in tourism, recreation or other combined experience
- PA diploma or certification is a plus
- Valid Drivers license
- Positive attitude
- Ability to be dynamic
- Ambitious
- Flexible schedule
