The **Human Resources Coordinator** supports the Global Human Resources team in all functional areas related to employees. The HR Coordinator provides excellent customer service to internal and external client groups through professional and timely communications. This position is a great opportunity to execute People Team processes and services in a global organization. This is a full time role based in Montreal, Canada that will require coming into the office twice a week.
The OneSpan office is located in the Windsor Station, in the heart of downtown Montreal.
**Key responsibilities**
- This individual will oversee the entire onboarding process, from extending offer letters to facilitating new hire orientation, and enrolling new hires into various benefit systems.
- Responsible for ensuring that new hires are properly and accurately enrolled in all relevant systems and programs in a timely manner.
- Responsible for employee offboarding activities, including calculating paid time off and sending necessary forms and memo to employees.
- Assist with vendor follow-up and correspondence as needed for employee questions or concerns.
- Accurately process employee and business transactions in the HRIS System (Workday),
- Ensure that information is accurately and confidential data entry, management, and audit of all sensitive employee information.
- Produce and submit reports on HR activity, providing insights and recommendations based on their analysis of the data.
- Provide employment verification requests, ensuring that they are accurate, timely, and compliant with company policies and legal requirements.
- Assist the with any other tasks as needed, providing backup support and contributing to the overall success of the HR team.
- Maintain clear and effective communication with the payroll department to ensure all payroll-related issues are resolved in a timely and efficient manner.
- Administer the employee French class program, including organizing onsite and online classes to improve French language proficiency among employees.
- Prepare all necessary employee communications in both French and English, as needed, to ensure clear and effective communication across the organization.
**Requirements**:
- 1 - 2 years of experience in Human Resources Administration
- Proficiency with the Microsoft Office suite
- Required two days onsite: Tuesdays and Wednesdays. Days may vary based upon what is occurring in the office that week.
- Bilingual - French/English preferred
