Administrative Assistant

Innocore, a leading manufacturer of disinfectant wipes for the away-from-home market has an immediate need for an Administrative Assistant at our facility in Woodstock, Ontario. This is NOT a remote role.
Reporting to the Director of Manufacturing, the incumbent will be responsible for working directly with the customer service, accounting, production, quality, and warehousing departments. This will be a multi-faceted role that will assist in the areas of data entry, record keeping, and reporting. This role will also provide administrative support by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
**Role Responsibilities**:
- Assist with customer service aspects including, but not limited to order entry, releasing orders, and preparing shipping documentation
- Maintaining records management database systems
- Transforming raw data into reports
- Handling incoming customer inquiries
- Preparing documentation including customer contracts
- Assisting with invoicing and implementing credits to customer accounts
- Answering phone calls and direct calls to appropriate parties or take messages
- Receive incoming mail, memos, submissions and reports and plan their distribution
- Manage inventory on finished goods lines and place purchase orders with vendors as required
- Point of contact for internal supplies and distribute accordingly
- Process and distribute sample requests for clients
- Update and manage customer data via Salesforce
- Assist with inventory management
- Arrange freight pickups using various suppliers
- Performing other related duties and projects as assigned
**Qualifications & Skills**:
- Minimum educational requirement is high school diploma, or equivalent
- Associates Degree with a Business Administration focus preferred; or 2-3 years administrative experience in a manufacturing setting; or an equivalent combination of education and experience
- Able to complete multiple projects on time and with mínimal supervision, which often serve several people and contain conflicting deadlines
- Excellent interpersonal and communications skills
- Good understanding of basic math required for quick and accurate counting and calculations
- Proficiency with Microsoft Office, Excel and PowerPoint.
- High attention to detail, accuracy, time management, and organization
