NutraPhyto Labs is seeking a _**Personal Assistant**_ to help with the day-to-day organization of the business, as well operations in the home and personal life of our CEO. Given the variation of responsibilities and highly personal aspect of this position, the right individual will be a Jack or Jill of all trades, a confident and highly assertive communicator, creative thinker, and have an affinity for being extremely flexible and organized.

This position is full-time during weekdays, working mainly at the Richmond office but will include travelling between the home of the CEO in Vancouver and other areas to complete a variety of tasks.
**- Responsibilities -**

Business-Related:

- Meeting with the CEO on daily basis to organize business schedule, including meetings, phone calls, etc. and receive instructions for liaising with senior management at the office if CEO is not present
- Connecting with senior management at the office and relaying important information to the CEO, including reports and operational updates for each department
- Maintaining the company’s calendar for all staff; ensuring schedules and meetings are booked and followed through on in a timely manner
- Taking meeting minutes and sharing them with the team
- Bank and mail runs, as needed
- Simple bookkeeping, as needed
- Organize company filing systems
- Create system for and maintain the organization of CEO’s work and home office
- Ensure that office supplies are purchased and staff have what they need
- Research various miscellaneous business items as requested by the CEO (e.g) competitor information, business supplies, etc.) and present summaries
- Start to finish event planning including staff functions
- Assist other departments (e.g) operations, marketing) as needed, to ensure day-to-day runs smoothly
- Update and keep up with social media

Personal:

- Scheduling and managing household personnel (e.g) nanny, chef, cleaners, etc.)
- Running personal errands (e.g) car maintenance, dry cleaning, etc.)
- Shopping for items
- Managing family calendar
- Researching and assisting in execution of household projects and home maintenance, as needed
- Scheduling restaurant and personal reservations
- Start to finish event planning for personal events (e.g) birthdays, holidays, dinner parties, etc.)
- Other ad hoc duties and assignments, as needed
**- Qualifications & Skills -**
- At least 1 year of experience in similar role (2-5 years’ preferred), as well as working in highly professional settings
- Diploma or Bachelor’s Degree
- Management experience is an asset
- Must have a valid BC driver’s license and a clean driver’s abstract; personal vehicle is an asset
- High level of discretion
- Comfortable to hold people accountable in a positive and productive manner
- Attention to detail
- Ability to think quickly and problem solve independently; self-sufficient
- Humble and tactful
- Ability to forecast and anticipate needs of the business, CEO and the CEO’s family
- Exceptional communication and interpersonal skills, as you will often directly represent the leader of our company
- Ability to collaborate with other staff members and home personnel
- Manages deadlines and allocates time appropriately, despite challenges
