We offer a personalized meal plan subscription service, where we learn all about your pup, create a customized meal plan to meet their unique dietary needs, and then deliver real-food meals to your door in pre-portioned, ready-to-serve packages on a recurring basis. We are a fast-growing start-up based in Richmond Hill, Ontario, and we’re looking for a highly organized, proactive Executive Assistant to support the CEO and leadership team. Job SummaryThe Executive Assistant (EA) plays a critical role in ensuring the CEO and leadership team are organized, informed, and supported in day-to-day operations. This in-office position requires someone with exceptional organizational skills, a positive attitude, and the ability to handle a wide variety of tasks. You’ll report to the CEO and work cross-functionally with the Operations, Marketing, and Customer Service teams. We’re a small but mighty team, so a hands-on, get-it-done mentality is essential.
This full-time, in-office role is based in Richmond Hill, Ontario, personal transportation or proximity to our Richmond Hill location is strongly preferred. Responsibilities1. Executive & Personal Operations SupportFully own the CEO’s calendar across business and personal commitments, ensuring priorities, energy, and outcomes are optimized. Prepare daily and weekly agendas so meetings are intentional and productive.
Act as a gatekeeper: manage inbound communication, requests, and scheduling decisions with sound judgment. Own the CEO’s inbox, you will triage, draft responses, follow up, and ensure nothing critical slips. Coordinate all travel, logistics, reservations, and external appointments for the CEO and executive team. Proactively manage personal, health, and lifestyle routines that support peak performance.
Draft, edit, and format internal and external communications, decks, and executive materials. Prepare weekly performance updates, reports, and leadership documents. Handle sensitive information with absolute discretion and professionalism.2. Office & Front of House OperationsServe as the first point of contact for anyone entering the office, clients, partners, and candidates.
Ensure the office runs smoothly day-to-day and reflects a high-standard, welcoming environment. Manage office organization, supplies, and general administrative needs. Take pride in the details from meeting rooms to shared spaces.3. Project, Marketing & Operations SupportTrack timelines, deliverables, and follow-ups across active initiatives.
Support customer service and fulfillment operations during busy periods. Create, document, and maintain SOPs to improve internal execution. Pull data and assemble operational and performance reports as needed. Respond to Google and Trustpilot reviews professionally and consistently.
Flag trends, risks, or issues to Marketing and Customer Service early. Support light marketing initiatives, if needed, including landing pages, campaigns, and email newsletters. QualificationsStrong proficiency in Google Workspace (Gmail, Calendar, Drive, Sheets). High attention to detail, time management, and organizational skills.
Friendly, approachable, and resourceful attitude. Excellent and professional written and verbal communication. Ability to multitask and shift priorities as needed. A natural problem-solver who can anticipate needs before they arise.
