We are seeking an experienced, strategic, and highly organized professional to serve as the Divisional Coordinator and Issues Manager for the Assistant Deputy Minister’s Office. In this pivotal role, you will manage complex, high-priority issues, build relationships with internal and external stakeholders, support executive decision-making, and oversee strategic planning and operational effectiveness across the division.
**Role Responsibilities**:
Reporting directly to the Assistant Deputy Minister (ADM) of Strategic Policy and Performance, the Divisional Coordination and Issues Manager plays a key leadership role within the Division. You will work closely with senior Division staff, the Senior Assistant Deputy Minister’s office, and the offices of the Deputy Minister and Minister to identify, anticipate, and manage strategically significant issues. This position is instrumental in ensuring that the Division is well-positioned to meet its operational and policy objectives.
The job responsibilities include:
1. **Strategic Oversight: Issues and Relationship Management**
- Act as the central liaison between the ADM’s Office, the Senior ADM’s Office, the Deputy Minister, the Minister’s Office, and other key stakeholders across the Ministry and government.
- Monitor and assess emerging issues; identify those requiring ADM attention and provide strategic recommendations.
- Build and maintain strategic networks and facilitate collaboration across divisions.
- Lead and resolve urgent, sensitive, and cross-divisional matters efficiently—often independently.
- Represent the ADM at meetings and events, providing analysis and reporting back on critical outcomes.
2. **Divisional Planning & Leadership Support**
- Contribute to strategic planning and decision-making as a key member of the Division's leadership team.
- Support and guide cross-divisional initiatives and special projects aligned with Ministry goals.
- Accompany and advise the ADM at meetings, providing summaries, recommendations, and briefings.
- Prepare strategic documents including backgrounders, presentations, and speaking notes.
3. **Executive Communication & Information Flow**
- Lead the coordination of briefing materials for senior-level meetings, including Executive Team and Ministerial reviews.
- Maintain strong communication and coordination with the Ministry’s Issues Management team.
- Ensure senior leaders are informed on relevant matters, support ADM decision-making with well-researched insights.
- Provide direction and oversight to divisional staff responding to Executive inquiries.
4. **Operational Excellence: ADM Office Management**
- Oversee day-to-day operations and workflow of the ADM’s Office.
- Keep the ADM apprised of divisional progress, initiatives, and emerging issues.
- Ensure administrative and operational practices align with Ministry standards and evolving priorities.
