We are seeking an individual who can find ways forward, be dependable, and work in a diverse multi-faceted environment to join our Divison of Research & Academic Innovation as the Divisional Coordinator.

Working closely with the Dean and Leadership Team, this position will focus on assisting the Dean’s office with the overall planning and reporting of the divisional plan, coordinate proposal writing and submissions, and lead general administrative tasks. This position is also responsible for leading internal and stakeholder-related events, in-person and virtual opportunities, including division and unit open houses, stakeholder consultations, workshops and conferences. This position demands a high level of organization, creativity, and the ability to set priorities and meet deadlines. The incumbent will have a demonstrated record of utilizing outstanding verbal and written communication skills and highly tuned organizational skills. In addition to being detailed oriented, the incumbent must enjoy and be proficient in building good relationships with internal and external stakeholders and funders. The coordinator will be expected to learn and create business processes, function quickly, manage many ongoing initiatives timelines. A good balance of communication skills and assertiveness is needed to influence action while maintaining good client relations with all levels of college staff, management and external partners. The successful incumbent will be boldly curious and intentional courageous by interpreting, developing, and disseminate key messages to internal and external stakeholders through various written and social media channels.

**KEY RESPONSIBILITIES**:

- Provide expertise to write, edit, proof all correspondence and internal/external reporting for RAI, including grant proposals, reports and annual reporting updates
- Supports the launch and incubation of project initiatives across RAI.
- Contributes to the creation and implementation of the division's Engagement and Communications Strategy.
- Anticipate, write, and disseminate necessary communications that provide excellent customer service, promote culture, and enhance learner experience
- Assist in communication plans of strategies or messages from senior leadership
- Foster relationships with advocates and key persons.
- Engaging alumni and students for consultation and input for support with projects, strategies, events, success messaging
- Liaise with Leadership Team, Business Development, People, Culture, and Marketing to coordinate non-credit and project launch offerings in the division
- Coordinate RAI communication presence in college-wide events and publications such as arranging interviews and profiling RAI initiatives and successes
- Act as a Brand Ambassador: set up of new user, special recognition, providing gifts, ensure that the Division is well represented and presented within internal and external contacts
- Ensure business process documentation required by the Division is initiated early and followed through to completion. e. Staff onboarding, system access requests, facilities maintenance, purchase requisitions, etc.
- Coordination of Legislative Compliance and OH & Safety reporting
- Often the central point of contact for inquiries and is responsible to answer or provide information, with soft hand offs.
- Prioritize, channel and facilitate communication from College staff, funders, external stakeholders and students using independent judgement to determine those that require priority attention.
- Manage Leadership calendars and follow up on action items, adjust priorities and coordinate appointments with internal and external groups.
- Ensure staff lists are up to date; help maintain the address listing for the division
- Help write documents, letters, briefing notes, and create presentations for presentation to Senior Executive. Provide quality checks for grammar, formatting, etc.
- Coordination with other administrative support personnel across the college.

**WHAT YOU BRING**
- Bachelor's Degree in Business Administration, Communications, or a related field is desired
- 3-5 years’ experience in a busy administrative environment with progressive responsibilities.

**KNOWLEDGE, SKILLS AND ABILITIES**:

- Previous experience working with various forms of both internal and external communications
- Experience with grant or proposal writing is an asset
- Proficient in MS Office; familiarity with design software is a plus
