Hours of work: 25 hours per week
Pay: $25 per hour
Eligible for Health and Dental benefits after 6 months probationary period

Reports to: Executive Director
**Job Summary**:
The Bookkeeper/Office Administrator is responsible for maintaining accurate financial records and providing administrative support to ensure the smooth operation of the Stepping Stone Association. This role requires strong attention to detail, confidentiality, and the ability to manage multiple financial and administrative tasks in a not-for-profit environment.
**Key Responsibilities**:
**Administrative Duties**:
- Answer phones and provide front-line support as needed
- Manage incoming and outgoing mail
- Coordinate cheque signatories and document approvals
- Maintain staff benefit coverage and liaise with benefits provider
- Handle insurance correspondence for business, property, and vehicle coverage
- Order office supplies and equipment
- Ensure Joint Stocks Registry is up to date
- Coordinate reservations for staff or client outings
**Bookkeeping Duties**:
- Manage daily accounting operations
- Prepare and process accounts payable and receivable
- Complete bi-weekly payroll using Sage and CAFT banking portal
- Reconcile bank, credit card, and petty cash accounts
- Maintain and update employee records; issue ROEs
- Calculate and remit payroll deductions (CPP, EI, Income Tax)
- Submit HST remittances semi-annually
- Support year-end audits and prepare financials for AGM
- Prepare monthly cash flow reports and financial updates for the ED and Board
- Collaborate on budget development and funding proposals
- Track and report on funding budgets and actuals to funders
- Maintain accurate online utility and service account records
**Qualifications**:
- 2 years post-secondary education related to accounting/bookkeeping or completion of training program approved by the institute of Chartered Accountants or 5 years’ experience in bookkeeping and fiscal management for a multiple project non-profit organization.
- Proven bookkeeping experience, preferably in a non-profit setting
- Proficiency in Sage, Microsoft Excel, and general accounting practices
- Strong organizational and time-management skills
- Ability to work independently and handle confidential information
- Experience with government remittances and benefit administration an asset
- Must maintain a high degree of confidentiality
- Professional and responsible with sensitive and highly confidential information.
