Are you an experienced Administrative Assistant or Program Coordinator seeking a new opportunity to provide high-level administrative support in a meaningful role? The Mustard Seed, a certified Best Christian Workplace, is seeking a skilled Administrative Coordinator to join our team. In this permanent full-time role, you will report to and support our Sr. Director of Shelter Operations who oversees shelter operations in all 5 cities that The Mustard Seed serves. Additionally, you will provide administrative support at our Foothills Shelter in Calgary, ensuring that daily operations run smoothly.
- Primarily responsible for supporting the Sr. Director of Shelter Operations in their daily activities.
- Review and reconcile expense reports, corporate credit card statements, and invoices for the Sr. Director of Shelter Operations and Basic Services department.
- Assist Sr. Director in budget tracking and variance reports.
- Serve as the primary liaison and connection with program and service areas throughout The Mustard Seed, including HR, IT, Health & Safety, Finance, and others as deemed appropriate.
- Coordinate the usage and fulfillment of office supplies, facilities work order requests, key, and access requests, as well as office resource allocation at the Foothills Shelter.
- Coordinate, organize, and facilitate internal and external meetings as required.
- Provide assistance with collecting and compiling daily, weekly, and monthly statistics.
- Provide administrative support in regard to recruitment, onboarding, offboarding, and position transfers within departments.
- Provide Homeless Management Information System (HMIS) administration duties for The Mustard Seed.
- Work with the Shelter team to ensure all objectives and targets are met with excellence.

**REQUIREMENTS**
- Certificate or diploma in office administration, experience working in an office setting, or a combination is preferred.
- Experience working in the social services sector or knowledge of shelter operations considered a strong asset.
- Ability to interact professionally (with diplomacy) and respectfully with all personnel, executive management, high-level external audiences, and major stakeholders of The Mustard Seed.
- Maintains complete discretion with confidential information.
- Working knowledge of monitoring budgets is considered an asset.
- Uses initiative and resourcefulness to handle multiple priorities in a fast-paced environment. Takes initiative and demonstrates great judgment.
- Intermediate to advanced skills in MS Office.
- This position is part of a regular work week schedule, running 8:00 AM - 4:00 PM, Monday - Friday but requires some amount of flexibility to meet the needs of the Department.
- Office space at the Foothills Shelter will be provided.
- This position has a hybrid work schedule for flexibility.
- This position is highly interactive while requiring a focused amount of mental effort to collect and analyze information, perform detailed tasks, and maintain proper time management.

- Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer.
