**Job description**

Solo family practice (affiliated with the Hamilton Family Health Team) is looking to hire a Medical Office Assistant (MOA) to join our healthcare team. The MOA is often the first point of contact for our patients and represents the practice values. You will play an important role in ensuring the smooth operation of our medical office, provide exceptional support to both patients and healthcare professionals. This position requires proficiency in electronic medical records and familiarity with medical terminology, as well as excellent communication skills to manage front desk responsibilities effectively. The role is for individual who can work effectively in a fast-paced clinical environment.

**Responsibilities**:

- Handle incoming calls timely and respond to patient inquiries using phone systems.
- Check-in patients, answer or direct inquiries, and provide assistance and directions when necessary, ensuring a high level of service.
- Coordinate the flow of patients in and out of the exam rooms to ensure efficient use of the facility and schedules are maintained.
- Take vital signs such as height, weight, temperature, urine dip and blood pressure recording.
- Maintain the practice’s appointment schedules for multiple providers, including appointment reminders.
- Arrange tests and referrals to specialist office and follow up with pending referrals
- Prepare and maintain patient charts in EMR.
- Monitor and process incoming faxes, mail and messages; uploading into EMR, including appropriate routing and charting.
- Keep the office, waiting room and exam rooms clean and tidy
- Ensure exam rooms and office are well stocked with necessary supplies.
- Provide assistance to all team members, and other administrative duties as required.
- Maintain professional communication and relationship with all members of clinical team.
- Clear understanding and ability to comply with regulations surrounding privacy and confidentiality of patient data

**Job Requirements/Qualifications**
- Minimum of two years of experience working in a family physician's office or similar medical office environment is necessary
- Diploma or completion of a certificate program in Medical Administration. Proficiency in medical terminology.
- Experience with PS Suite EMR preferred.
- Strong understanding of medical terminology to communicate effectively with healthcare staff and patients.
- Be highly organized with the ability to multitask effectively while maintaining a focus on patient satisfaction and clinic operations.
- Ability to work as a team member, as well as autonomously, taking initiative to manage tasks and resolve issues efficiently.
- Excellent organizational and time management skill.
- Possess a strong work ethic and commitment to excellence.
- Excellent interpersonal communication skills.
