**About you**:
Reporting directly to the President and CEO of Cheekbone Beauty, The Executive Assistant to the CEO provides executive, administrative, communication and development support to the CEO. The Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining of the CEO.
The Executive Assistant will help to maintain all daily job duties required of the CEO including the management of all communication, inquiries, organization, transactions, files/record keeping and delegation. This role will provide a wide variety of support to the CEO while proactively managing new and foreseeable tasks as required to meet ongoing business growth. The Executive Assistant to the CEO will define business relationships while supporting multiple levels of the company’s structure according to demand forecasts. Responsible for managing a variety of day-to-day operations and responsibilities, with an equally as large emphasis placed on streamlining existing processes and improving current structures and systems.
**What you will be doing**
- Manage all files, data and communication on behalf of the CEO. Coordinate logistics both internal and externally.
- Assist the CEO with a variety of daily administrative duties and complete a broad variety of supportive tasks that include an active calendar of appointments, expense reporting, finances, composing and preparing correspondences, arrangements, itineraries, accommodations and agendas.
- To devise and maintain office systems, including data management, filing and organization
- Produce reports, documentation, files, data and projects as request
- Must have a strong financial understanding, assist with the processing of financial transactions, invoices, statement/record keeping and manage accounting pertaining to the CEO and business.
- Assist the CEO with scheduling meetings, meeting agendas, meeting minutes and the preparation of any necessary meeting materials, records and review.
- Manage, organize and maintain overall records, files and data.
- Assist with basic multi-department administration on behalf of the CEO.
- Provide overall assistance as needed for reception duties, admin, operations and provide relief assistance for break/vacation coverage to support business needs. This includes delegation of work and deadline follow-up with other departments in the absence of the CEO.
- Perform all additional duties as assigned by the CEO based on immediate needs and business demand.

**Here’s what you should bring to the table**:**
- 5+ years of experience in an Executive Assistant, Assistant, Administrative Assistant to the CEO, or support for upper-level management in a related field or role.
- Post-Secondary Degree, Diploma or Certificate in Business, Administration, Social Sciences or a related field.
- Excellent organizational skills that reflect the ability to perform and prioritize multiple projects seamlessly with time management, strong attention to detail and problem-solving skills.
- Experience with financial administration and transaction processing is required.
- Ability to work independently and with professional direction. Highly self-driven and motivated.
- Strong written and analytical correspondence skills to provide clear, accurate and thorough information in order to meet required departmental standards.
- Ability to present research and data in a sufficient, professional and well-written manner.
- High level of confidentiality, integrity and reliability.
- Excellent writing, editing, grammatical, communication and interpersonal skills.
- Ability to build and maintain lasting relationships with stakeholders, including staff, board members and external partners and business relations.
- Excellent word processing and IT skills, including knowledge of a range of software packages such as Outlook, Excel, PowerPoint, Word, Google Doc, Shopify, ERP Systems.
- Highly experienced using technology and a strong ability to navigate a variety of online software technologies and platforms. Ability to learn new software as well as implement systems in order to optimize job function.
