**OPERATIONS COORDINATOR**

While the below is not an exhaustive list, the Operations Coordinator will focus on the following major priorities for success.

Key Responsibilities:
Administrative:

- Operate office equipment and proficiently use software packages such as Microsoft Word, Excel, PowerPoint, etc.
- Prepare and distribute various documents for the head office, including letters, memos, forms, presentations, and charts.
- Respond to inquiries in person, by telephone, or in writing, answering routine business questions and managing messages.
- Coordinate and attend meetings, taking and transcribing minutes as needed.
- Monitor, order, and maintain supplies and resource materials for the head office and other locations.

Recipe Development and Curriculum Support:

- Compile and organize all recipes used in classes, camps, and workshops.
- Upload recipe files to a shared drive for easy access by instructors and staff.
- Coordinate efficiently with camp locations to ensure necessary ingredients and equipment for scheduled recipes.
- Manage recipe adjustments based on dietary restrictions or allergies.

Financial Organization:

- Assist with bookkeeping, tracking payments, invoices, payables, and receivables.
- Serve as the point person for employee reimbursement forms.
- Document and organize rental payments.

Program Operations:

- Assist with rental contract creation and updating.
- Develop and organize facility checklists and manuals.
- Submit RFPs and organize quotes from vendors.
- Create Purchase Orders for equipment, supplies, and food.
- Schedule deliveries and pickups, providing overall logistics support.
- Coordinate staff schedules and manage administrative duties for programs.
- Assist with food ordering for programs and class list management.

HR Support:

- Hire and manage volunteers during the summer camp season
- Assist with recruitment initiatives.
- Support employee onboarding, including contracts, new hire forms, and payroll system setup.
- Audit employee hours and submit final hours to the Payroll Manager.
- Run payroll reports.

Event Management System & Website:

- Assist with the setup of programs and camps on the system.
- Run reports and make basic edits to the event system and website.
- Adjust and edit session availability.
- Assist the customer service team as needed with customer account management.

Required Experience and Skills:

- **Preferrably Permanent Resident**:

- Strong business acumen and experience in a business work environment preferred
- Experience in the food business (specifically ordering and restaurant management)
- Operational / distribution/logistics experience is required
- Knowledge of basic accounting/bookkeeping
- Ability to work both independently and collaboratively on projects
- Excellent verbal and written communication: Ability to clearly, concisely and professionally communicate with a variety of people on our team
- Strong administrative and time management skills: Ability to balance tasks and prioritize activities that will maximize results
- Coachable: A desire to learn more about processes, technologies, and ways of continuously improving.
- Quick learner: Strong listening skills, with an ability to absorb and retain new information
- Feedback communication: Open to feedback from the team, as well as willingness to provide feedback when appropriate
- Highly detail-oriented with excellent organizational skills
- Ability to work effectively in a fast-paced environment
- Extremely comfortable with learning new software and technologies
- Experience with WordPress and Quickbooks is an asset
- Experience in the camp business is an asset

**Job Type**: Part-time

Pay: $18.00-$22.00 per hour

Expected hours: 10 - 35 per week
