**The opportunity**
Regulatory & Public Affairs (RPA) at Manulife is a multi-disciplinary team supporting senior management and strategic goals of the organization. Team members are in Toronto, Waterloo, Montreal and are responsible for the Regulatory and Public Affairs activities supporting Manulife’s Global operations, Manulife’s Business Information Centre and Corporate Art & Archives. Team activities include:
- preparing the Manulife daily media review and clippings,
- researching and preparing briefings and research material for senior management,
- coordinating events in support of Manulife’s advocacy activities,
- conducting and coordinating advocacy in Canada and internationally, and
- supervising trends in regulation and in the financial services industry.
**Individual Accountabilities**:
- Providing administrative support to the Global Head of Regulatory & Public Affairs including handling incoming correspondence, scheduling appointments and meetings, ensuring the executive has all vital information for meetings, and prioritizing urgent matters as required.
- Sophisticated calendar management - flexible with last-minute schedule changes and urgent meeting requests
- Assisting in the preparation of reports and PowerPoint presentations.
- Minute taking of monthly team meetings and other meetings as required.
- Coordinating domestic and international travel arrangements for the Global Head of Regulatory & Public Affairs and other team members as required.
- Coordinating expense reporting, including handling documentation and payment of external vendors, for the Global Head of Regulatory & Public Affairs and other team members as required.
- Logistical support for physical and virtual internal and external meetings and events, including working with internal and external resources, arranging for facilities and services, and coordinating invitation and participation.
- Run the onboard/offboarding process for new and departing team members.
- Coordinate team activities with the Executive Assistant to the VP and Counsel, Regulatory and Public Affairs, including acting as backup one another.
- Work collaboratively with other EAs across the organization, including the EA to the General Counsel in her activities supporting the Legal Compliance Audit and Government (LCAG) management team and its meetings.
**Job Requirements**:
- Several years of experience as an assistant to a professional or executive group.
- Excellent organization, multi-tasking, prioritization skills and time management.
- Ability to work and collaborate efficiently in a fast-paced global environment with multiple priorities, partners and deliverables.
- Careful attention to detail in all aspects of the job.
- Collaborative, tactful, and flexible approach with a focus on achieving results.
- Comfortable and efficient when dealing with people on the phone and at a distance.
- A willingness and ability to learn new skills and serve as support in several capacities.
**Key Competencies**:
- Excellent knowledge of MS Office products (Outlook, Word, Excel, PowerPoint, including Office 365)
- Strong written and verbal communication skills.
