This position is responsible for organizing and coordinating administrative functions, office procedures, and event setups.In addition to managing day‑to‑day administrative tasks, the facilities coordinator oversees all activities within the Facilities Management department, including soft services, mailroom operations, reception, event coordination, and physical security. The role requires close collaboration with the building operations team to maintain seamless daily operations.A key responsibility is monitoring the CMMS to ensure timely response and completion of work orders, accurate asset tracking, preventive maintenance scheduling, and documentation of repairs. The Facilities Coordinator will also generate reports and maintain up‑to‑date asset records.During the Facilities Manager’s absence, this role provides departmental leadership by conducting meetings, overseeing staff, and ensuring continuity of operations.As a Facilities CoordinatorHERE’S HOW YOU’LL CONTRIBUTE:Ensure the effective operation and compliance of home office and regional facilities, supporting program delivery and maintaining a safe environment for all occupants and visitors.Build and maintain positive working relationships within the division, program partners, other internal and external service providers and all regional staff.Coordinate a variety of facility services including security, grounds keeping, janitorial, soft services, reception, mailroom, inventory of supplies an move of those, and others as assignedMonitor and report on facility operating budgets by processing invoices, maintaining financial documentation, issuing purchase orders, and coordinating vendor quotes.Coordinate office moves and event setups including the physical movement of furniture, equipment, and materials to support internal teams and organizational activities.Collaborate with building operations teams to resolve facility issues, support building projects, and maintain compliance with safety and operational requirements.HERE’S WHAT YOU’LL BRING:1-3 years of property management experience, including vendor oversight, administrative functions, and financial management responsibilities.A property or facility management designation (e.g., FMA) or active progress toward one is preferred.Post‑secondary education required.Proficiency in MS Office applications, with strong skills in organizing, tracking, and reporting information.Demonstrated ability to coordinate a high volume of activities, remain organized, and thrive in a fast‑paced environment.Ability to stay current on building technologies, systems, and equipment.Strong leadership skills with the ability to guide and oversee contracted vendors using effective communication, interpersonal, and problem‑solving abilities.Proven ability to exercise sound judgment and manage complex or ambiguous situations professionally.Excellent customer service skills, with a high level of diplomacy when interacting with internal and external stakeholders.Working knowledge of CMMS platforms and maintenance workflows.Project management experience considered an asset.Valid Class G driver’s license in good standing, with daily access to a vehicle.Rémunération directe totale :$50,470 to $60,640Toute échelle salariale est en dollars canadiensVOICI CE QUI NOUS DISTINGUE :Grâce au mentorat, à des outils novateurs et à une variété de programmes qui mobilisent et récompensent les employés, nous donnons à chacun d’eux les moyens d’exceller et d’obtenir des résultats.Avantages sociaux complets qui comprennent l’accès au Programme d’aide aux employés et à la famille (PAEF) et à Bien-être Essentiel.Un régime d’épargne-retraite collectif assorti d’une cotisation patronale de contrepartie.Des congés payés généreux.Des modalités de travail hybrides.Des occasions de bénévolat rémunéré et des programmes de dons de bienfaisance jumelés.Des programmes de reconnaissance des employés assortis de primes de recommandation.D’éventuels incitatifs fondés sur le rendement. La possibilité de participer à notre régime d’actionnariat.Et plus encore* En vous joignant à nous, vous ferez non seulement partie d’une entreprise primée, mais également d’un effectif engagé et habilité à réussir.Merci d’avoir pris FCT en considération.
