 is looking for a motivated, solutions-oriented Sales Support Specialist with proven experience in support and administration to join our expanding team in Victoria, BC. We are an internationally recognized and growing company that provides specialized test equipment solutions to facilitate medical device innovations in the cardiovascular field.Reporting to the Operations Manager, the Sales Support Specialist plays a vital role in helping to meet sales targets by providing sales assistance and managing general office tasks. Being organized, goal-oriented, and able to multitask, the Sales Support Specialist measures success by removing obstacles and ensuring sales are completed on time, thriving in a fast-paced technical environment with competing demands. Annual variable compensation tied to goal completion has a target of 5.5% of the base salary. Employees are also eligible to earn profit sharing.Position Responsibilities:Sales Support:Handle customer communications, including order processing (keeping the client updated and informing them of unforeseen delays)Review sales contracts, including NDAs and tendersProcess orders to ensure accurate, timely, and efficient product deliveryCoordinate the shipment orders and customer invoicesPerform post-shipment follow-up to confirm customer satisfactionTrack and manage overdue accounts, initiating follow-up actions as neededOversee and uphold the administration of SYSPRO ERP and Salesforce CRM systemsMaintain and report on order KPIsAssist in coordinating sales trips and trade show appearancesManage inventory of ViVitro promotional merchandiseAttend key sales meetings and gain a thorough understanding of all the company’s services and productsAdministrative Support:Oversee and support all administrative duties in the office, ensuring smooth operations for managementCoordinate with the IT department regarding all office equipmentPerform reporting functions regularly and promptly, including tasks for SYSPRO ERP, Salesforce CRM, and SharePointSupport the accounting team with Financial and Month-End reporting processesAssist with accounting through invoice coding and supplier managementSupport senior management and sales representatives with any other projects as neededOur ideal Sales Support Specialist candidate brings:A certificate or diploma in business administration is preferred, or an equivalent combination of education and experienceMinimum of 3+ years of experience in an office settingExperience with ERP and CRM systems preferredProficiency in Microsoft Office programs (Excel and Word)These Skills and Abilities will help you thrive:Familiarity with CRM platforms (Salesforce preferred) is an asset.Proficiency with Microsoft Office programs.Strong Excel skills for data analysis, reporting, and goal tracking.Strong communication skills, with the ability to effectively engage clients and prospects.Previous experience or familiarity with sales activities and providing customer service.Demonstrated ability to manage customers and efficiently seek out resolutions to any customer-related issues.Excellent interpersonal skills and ability to communicate effectively with all team members and customers.High level of organizational skills, attention to detail, and problem-solving skills with the ability to prioritize a multitude of tasks.Ability to work independently with minimum supervision.Positive attitude and a reliable team member.About ViVitro Labs:  provides contract testing services and test equipment solutions to support medical device innovations in the cardiovascular sector.
