Job ProfileThere is a temporary opening for an Elections Coordinator within the Corporate Services Department, Clerk’s Division. Reporting to the Deputy City Clerk/Manager of Council and Committee Services the Election Coordinator will lead and coordinate complex initiatives to help ensure a successful election. The successful candidate will manage the municipal election project plan and key initiatives of the election program in advance and during the 2026 municipal and school board election.
What you will be doing- Assist the election team with the planning, administration and organization of all aspects of the municipal election.
- Assist with researching, developing and implementing strategies, including policies and procedures, related to various aspects of the election.
- Review amendments to the Municipal Elections Act and identify changes to the Act that need implementation and compliance by deadline dates.
- Oversee the execution of various projects and ensure all legislative requirements are met.
- Ensure all compliance with Accessibility for Ontarians with Disabilities Act, and draft any policies/plans/procedures as required.
- Liaison and consult with Provincial and Municipal partners as necessary.
- Work with the City’s Communication Team to establish a communication plan.
- Revise, update and prepare election materials including information manuals and pamphlets, election/user handbooks and manuals, Voters Lists, Voter Notification Cards, ballots, etc.
- Responsible for the recruitment and training of election personnel including the scheduling of training sessions.
- Preparation of election training materials.
- Arrange for voting locations to be used during elections.
- Oversee the list of electors including revisions to the list, as required in Datafix software.
- Inventory and order all required election supplies to be used during the election.
- Organize the preparation and distribution of the ballot box, all supplies and electronic equipment including notebook and tabulators.
- Organize Election Day activities including election personnel.
- Set-up and oversee the advance polling stations.
- Post-election activities including inventory and tabulation of final results.
- Authorize the payment of all election staff and facility rentals.
- Other duties as assigned.
Three year College Diploma in Business Administration or Similar
Experience and Knowledge- Three years' experience working in a Municipal Government office environment.
- Proficient use of Microsoft Office (including MS Project).
- Sound knowledge and demonstrated experience working with the application of the Municipal Elections Act, Education Act, Municipal Act and Accessibility for Ontarians with Disabilities Act, as well as other current applicable legislation.
This position is within Grade 4 of the Non-union Salary Schedule and has an hourly rate of $44.71 to $54.53 (2024 rates). Benefits package included.
LocationThis position is located at City Hall, Cambridge, Ontario.
Hours of workThe current regular hours of work are currently 8:30 a.m. to 4:30 pm., Monday to Friday with some weekend and evening hours required.
