Working for the Faculty of Native Studies

The Faculty of Native Studies (FNS), one of the largest Indigenous studies academic units in the world, is devoted to understanding the historical and contemporary relationships between Indigenous and Non-Indigenous societies in Canada, with reference to the evolving Indigenous societies and cultures locally, nationally and internationally. The Faculty graduates Indigenous and non-Indigenous students with Bachelor of Arts degrees in Native Studies and offers a Master of Arts in Native Studies and a PhD in Indigenous Studies. The Faculty also offers three Certificate Programs. The FNS welcomes on average 200 students each year.

Situated within a research-intensive university, the FNS’ research of profile centres Indigenous knowledge and relationships with Indigenous communities and is open to a highly diverse range of theoretical perspectives. The complexity of the FNS is evident in its approach to Indigenous perspectives and Indigenous knowledge, the contribution of Elders, its interaction with Indigenous communities and the promotion of Indigenous languages.

Position Summary

Reporting directly to the Faculty of Native Studies Faculty General Manager, the Coordinator, Admissions and Student Services (CASS) is the Faculty contact and primary information source for undergraduate and graduate students on all programs. The CASS is responsible for advising students with regard to spiritual and social perspectives as well as individual academic degrees.

The portfolio includes admissions, recruitment, enrollment management, student records, academic advising, grade approval, course registration, program degree planning, student graduation and referral to on and off-campus resources for students.

The Coordinator, Admissions and Student Services is responsible for graduate application processing, in collaboration with the Associate Dean (Academic), Associate Dean (Graduate Studies) and the Faculty of Graduate & Postdoctoral Studies. The CASS is also responsible for confidential and time-sensitive decisions pertaining to students’ academic needs.

The Coordinator, Admissions and Student Services advises the Dean, the Associate Dean (Academic), the Associate Dean (Graduate Studies) and the undergraduate and graduate students with respect to the FNS programs, policies and procedures for admissions and recruitment. The CASS acts as an expert resource to external agencies and academic institutions with respect to the Faculty’s programs, policies and procedures for admissions and recruitment. This position also works closely with the Student Services partners (such as Enrollment and Recruitment) and is responsible for records management including all student records, student service and retention as it pertains to academic programs.

Duties

This position is part of a small team that handles all things related to admissions and student services, including:

  • Managing the faculty admissions processes and student records for the Faculty of Native Studies undergraduate and graduate students
  • Evaluates admissions procedures for FNS and coordinates with the Admissions unit in the Registrar's office and GPS
  • Advises students in program planning providing accurate information, to assist the student in making academic decisions such as course selection, building timetables and using online systems, degree requirements, academic standing, degree completion, policies, regulations and deadlines.
  • Creates, validates and maintains student academic records in the Faculty, ensuring integrity, completeness and correctness.
  • Refers students to appropriate resources at the UofA and in the community; this would involve working with students in the transition process and referring students to resources such as University Health Services, Student Counselling Services, Academic Success Centre, and First People’s House
  • Reviews Faculty's Academic Calendar sections annually to ensure they are accurate, current and in alignment with changes in faculties with whom FNS have shared programs

Minimum Qualifications

  • Undergraduate degree; degree in social sciences preferred
  • At least 5 years directly related post-secondary experience, preferably in an academic program or student service office
  • Thorough knowledge and experience with the University of Alberta academic regulations, especially in the areas of admissions, records, the calendar, the Code of Student Behavior, GHC Policy, registration, evaluation procedures, and the University grading system, examinations, academic standing and appeals and grievances
  • Demonstrated experience in admission management, enrollment management and student record management with broad understanding of the strategic issues involved
  • Strong technological orientation and proficiency with processing, databases and other computer applications
  • Exceptional organizational skills, including project and resources management skills
  • Strong competency in written and oral communication
  • Strong analytical and problem solving skills
  • Proven dedication to superior customer service with a strong commitment to student services
  • Knowledge of all aspects of Indigenous education such as funding sources and high needs areas
  • Knowledge of Indigenous history, contemporary issues and ways of being

Preferred Qualifications

  • Graduate education involving mentoring and/or teaching is desirable
  • Understanding of FOIPP and Human Rights legislation as it relates to interaction with undergraduate and graduate students, parents, faculty and staff
  • Expert knowledge of FNS specific academic regulations, policies and procedures with the ability to provide advice to all involved with undergraduate and graduate students
  • Superior interpersonal skills including the ability to listen and communicate effectively and sensitively, including cultural sensitivity and an ability to counsel distressed or difficult individuals
  • Expert knowledge of the University's PeopleSoft software records management system, PeopleSoft production and PeopleSoft Reporting, Alfresco, GSMS System, LaunchPad/Slate, FreshService and Microsoft Suite
  • Ability to exercise superior, independent judgment on a day-to-day basis;
  • Demonstrated leadership ability
  • Ability to work under pressure with demanding workload;
  • Ability to prioritize work, make independent decisions based on previous experiences, established precedents and official policies, and acts in a proactive manner
  • Awareness of issues throughout the University and in higher education in general
