We are looking for a Bilingual Administrative Assistant to support our client’s team, which specializes in renewable resources in Montreal, Quebec. In this role, the Administrative Assistant will play a crucial part in assisting the Project Director by managing administrative responsibilities, allowing the Director to concentrate on core project management activities. The ideal candidate will be skilled in prioritizing tasks, handling multiple deadlines, and tracking complex project details. Strong time management abilities and the capacity to meet deadlines are essential to thrive in the fast-paced project environment of our client.Responsibilities:Identify and solve administrative problems independently and efficiently.Maintaining confidentiality of project information and personnel matters is essential.Tracking and processing project-related expenses.Scheduling meetings, booking rooms, arranging catering, and creating agendas andminutes.Ensure accuracy in travel arrangements, meeting logistics, and administrative tasks.Manage time effectively and meet deadlines.Prioritize tasks, manage multiple deadlines, and keep track of complex project details.Maintaining confidentiality of project information and personnel matters.Willingness to take initiative, learn new tasks, and adapt to changing project needs isvaluable.Requirements:Both written and verbal communication skills in both official languages are essential for clear and concise communication with project, clients, and vendors.Bilingual in French and English.Expertise in Word, Excel, PowerPoint, and Outlook is essential for document creation, scheduling, and communication.Strong project management skills.Familiarity with project management software (e.g., MS Project, Asana) Understanding of the Managing Director’s or Project Director's industry.Proficiency in using communication platforms like TEAMS, Zoom, Skype, or Slack to facilitate meetings and collaboration.
