À propos du rôle

Sous la responsabilité directe du vice-président des opérations, l'assistant administratif sera naturellement curieux, aimera prendre des initiatives et sera désireux d'aider les autres.


Responsabilités

  • Fournir une assistance administrative et de secrétariat à l'équipe de direction et au directeurgénéral à l'occasion.
  • Planifier et organiser l'agendaquotidien et à long termede l'équipe de direction.
  • Gérer les communications entrantes et sortantes du bureau de l'équipe de direction (téléphone, télécopie, courrier électronique, correspondance et mémorandum).
  • Organiser, planifier, coordonner et suivre tous les rendez-vous, réunions,activités, voyages, hôtelset transports prévus pour l'équipe de direction.
  • Aider l'équipe de directionà préparer les réunions et les présentations.
  • Organiser le classement de tous les documents et de la correspondance de l'équipe de direction.
  • Traduire les documents, les communications d'entreprise et les présentations du français vers l'anglais et de l'anglais vers le français.
  • Assister l'équipe de direction dans toutes les autres tâchesqui lui sont confiées de temps à autre.


Exigences du rôle

  • Maîtrise de Microsoft Office365, de la messagerie Outlooket de la gestion des réunions d'équipe.
  • Capable de gérer des agendas et des calendriers multi-exécutifs.
  • Bonnes compétences en matièrede recherche et souci du détail.
  • Sensibilisation à la cybersécurité ; y comprisune familiarité avec l'utilisation de l'IA générative comme Chat GTP.
  • Grande capacité d'organisation.
  • Parfaitement bilingue; lecture et écriture, avec un accent particulier sur les compétences rédactionnelles en français.
  • Capacité à revoir les procédures et à identifier les domaines d'amélioration.
  • Capacité à maintenir des relations harmonieuses avec les partenaires commerciaux et les collègues de travail.
  • Capacité à respecter les délais et à assurerun suivi efficace.
  • Solides compétences en matièred'organisation et de planification.
  • Aptitude à travailler dans un environnement professionnel en évolutionrapide.
  • Esprit d'équipe.
  • Solides compétences en matièrede relations humaineset de communication.
  • Un haut niveau de discrétion et de confidentialité est requis.

About the role

Reporting directly to the Vice President of Operations, the Administrative Assistant will be naturally curious, enjoy taking initiatives and is eager to help others.


Responsibilities

  • Provide administrative and secretarial assistance to the Executive Team & CEO at times.
  • Plan and organize the daily and long-term agenda schedule of the Executive Team.
  • Manage incoming and outgoing communications of the Executive Team’s office (telephone, fax, e-mail, correspondence, and memorandum).
  • Organize, plan, coordinate and follow-up all Executive Team’s scheduled appointments, meetings, activities, traveling, hotel and transportation.
  • Assist the Executive Team in preparing for meetings and presentations.
  • Organize filing of all Executive Team’s documents and correspondence.
  • Translate documents, corporate communications, and presentations from French to English, and from English to French.
  • Assist the Executive Team in any other tasks assigned from time to time.


Role Requirements

  • Proficient with Microsoft Office365, outlook email and team meeting management.
  • Able to manage multi-executive agendas and schedules.
  • Good research skills and attention to detail.
  • Cybersecurity awareness; including familiarity with generative AI usage like Chat GTP.
  • High organization skills required.
  • Fully Bilingual; Reading and writing, with emphasize on proper French writing skills.
  • Ability to review procedures and identify areas of improvements.
  • Ability to maintain harmonious relationships with business partners, working colleagues.
  • Ability to meet deadlines and make efficient follow-ups.
  • Strong organizational and planning skills.
  • Aptitude in working in a fast-paced business environment.
  • Team player oriented.
  • Strong people and communication skills.
  • High level of discretion and confidentiality is required.
