Client Care Veterinary Support Specialist

Location: Burlington, ON

VCA Canada is seeking a dedicated and compassionate Client Care Veterinary Support Specialist to enhance our team. This full-time position requires a minimum of 3 years of experience in the veterinary field and encompasses a variety of duties that contribute to the smooth and effective daily functioning of our facility. Your main focus will be to ensure that our clients and their pets feel welcomed, expertly cared for, and valued.

Key responsibilities and qualities for your role as a Client Care Veterinary Support Specialist include:

  • Assisting veterinary professionals with various tasks and treatments
  • Fostering a warm and inviting atmosphere for our patients and their owners
  • Promoting a positive, low-stress environment for clients and pets alike
  • Performing general housekeeping duties to maintain cleanliness in reception, pet holding areas, and communal spaces
  • Exhibiting compassion and a nurturing demeanor
  • Maintaining composure in high-pressure situations and adapting to changing circumstances
  • Demonstrating efficiency in completing tasks independently
  • Taking initiative to fulfill responsibilities throughout the day
  • A certificate from a Veterinary Assistant (VA) or Veterinary Office Assistant (VOA) program is advantageous

Additional responsibilities include:

  • Over 3 years of experience in Customer Service and Client Care
  • Proficiency in managing a multiline phone system and effectively scheduling appointments
  • Conducting follow-up calls to pet owners for appointment reminders and future bookings
  • Managing email communications with clients, referring veterinarians, and internal messages
  • Handling the admission and discharge processes for pet patients
  • Invoicing and billing; preparing estimates, securing pet owner confirmations, and processing payments
  • Scheduling appointments efficiently
  • Exceptional customer service skills; a natural ability to put clients at ease and create a welcoming environment
  • Strong organizational capabilities
  • Eagerness to expand knowledge regarding veterinary services, updated medical office procedures, and assisting veterinary staff with various tasks and treatments
  • Previous experience in customer service or front desk roles in hospitality or retail is beneficial
  • A passion for animals is essential, even without prior experience
