Top Executive Support Role in Montreal

We are seeking a highly skilled and experienced Executive Personal Assistant to join our team at Elite Domo. As the principal point of contact, you will provide exceptional support to our Executive Chairman and his family, ensuring seamless execution of daily tasks and long-term goals.
About the Role
This is an exciting opportunity to work in a dynamic environment, utilizing your skills to contribute to the success of our prominent family office. You will be responsible for managing calendars, making travel arrangements, preparing expense reports, and providing personalized and timely support to the principal and his family.
Key Responsibilities
- Act as the first point of contact for the principal, fielding and screening calls and correspondence.
- Manage schedules for the principal and family, organizing meetings and appointments, controlling access to the principal.
- Book and arrange travel, transport, and accommodation in collaboration with travel agents.
- Be available as a point person when the principal and family are traveling.
- Assist in organizing fundraising events, private parties, and executive retreats.
- Follow up and remind the principal of important tasks, appointments, and deadlines.
- Manage databases and filing systems.
- Liaise with corporate staff and estate managers.
- Maintain and submit expense reports to accounting.
- Submit medical claims on behalf of the principal and family.
- Organize children's activities calendars and schedule doctor's appointments.
- Place online shopping orders and returns for the principal and family.
- Maintain personal information of the principal and family, ensuring it is up-to-date.
- Manage petty cash.
- Distribute season tickets and handle miscellaneous ticket requests.
- Support and act as a backup to other Executive Personal Assistants.
Requirements and Qualifications
- A minimum of 5 years of experience as an Executive Personal Assistant.
- The ability to treat confidential information with discretion.
- Excellent organizational and time management skills, with the ability to multitask.
- The ability to be proactive and take initiative.
- Tact and diplomacy.
- Excellent communication skills in both English and French.
- Knowledge of Microsoft Office/Outlook, Word, Excel, and PowerPoint is an asset.
