Job Summary

We are seeking an experienced Administrative Assistant to provide complex confidential administrative and secretarial support to our Senior Leaders. The successful candidate will be responsible for managing the day-to-day administrative operations, resolving day-to-day problems, and ensuring accurate and timely delivery of administrative services.

Key Responsibilities
  • Provide administrative support to Senior Leaders, including scheduling meetings, preparing correspondence, and maintaining records.
  • Manage the flow of information, maintain the integrity and confidentiality of all information, and interact with senior leaders, managers/directors, and administrative support staff.
  • Coordinate meeting logistics, arrange travel and accommodation, and submit HR and Finance information.
  • Design, create, and maintain correspondence, documents, presentations, orientation packages, and spreadsheets.
  • Process confidential and sensitive documents, and draft and evaluate operating procedures for assigned areas.
  • Provide work direction and guidance to support staff, and check the work of others to ensure administrative needs are met.
  • Assist in budget development, monitor expenditures, and ensure invoices are authorized to predetermined amounts.
  • Prepare and update various documents, including presentations, spreadsheets, correspondence, meeting minutes, and reports.
Requirements
  • A level of education, training, and experience equivalent to graduation from a recognized post-secondary administrative assistant/secretarial program.
  • Four (4) years' progressive experience supporting senior-level management.
  • Ability to communicate effectively, both verbally and in writing, and work with discretion in preparing and handling information of a confidential or sensitive nature.
  • Ability to organize and prioritize work, work under time pressures, and handle interruptions and changing priorities.
  • Ability to analyze and interpret guidelines, and work independently to determine appropriate action to take in handling inquiries.
  • Knowledge and ability to utilize related equipment and computerized software packages, including word processing, spreadsheet, database applications, scheduling, email, and internet applications.
  • Ability to type 60 words per minute.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada, as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
