Job Summary

We are seeking a highly organized and detail-oriented Property Administrator to join our team at TOTEM Recruteur de talent. As a key member of our operations team, you will be responsible for providing exceptional support to our clients and ensuring the smooth day-to-day management of our properties.

Key Responsibilities
  • Tenant Support: Serve as the primary point of contact for tenants, addressing their needs and concerns in a timely and professional manner.
  • Record Management: Maintain accurate and up-to-date tenant records, including contact information and emergency contacts.
  • Office Administration: Manage general office tasks, such as supplies, filing, and banking, to ensure a well-organized and efficient work environment.
  • Accounts Receivable: Assist with accounts receivable, including reviewing reports, processing payments, and updating records to ensure timely rent collection.
  • Property Coordination: Collaborate with property managers to ensure timely rent collection and resolve any payment issues.
  • Invoice Preparation: Prepare and code invoices, and ensure timely approval and payment.
  • Marketing Support: Support marketing efforts, including social media updates and promotional campaigns, to promote our properties and services.
  • Team Collaboration: Collaborate with property managers and other team members to achieve property goals and objectives.
Requirements
  • Language Proficiency: Fluency in English and French (written and spoken) is required.
  • Experience: Previous experience in commercial real estate administration is an asset, but not required. A minimum of 5+ years of administrative experience is necessary.
  • Technical Skills: Proficiency in MS Office (Word, Excel, Outlook, Access) is required. Experience with property management software is an asset.
  • Soft Skills: Strong organizational and time management skills, with the ability to prioritize multiple tasks and work in a fast-paced environment.
