Job Summary

We are seeking an energetic and meticulously detail-oriented Event Planning Coordinator to join our Toronto Client Development & Marketing Team. As an Event Planning Coordinator, you will provide support in the planning and delivery of exceptional client experiences, working closely with the events team to execute webinars, in-person events, and client social events.

The successful candidate will have experience in event coordination, preferably in a corporate environment, with a strong understanding of event planning and management principles, methods, and techniques. Proficiency with MS Office and event-related technology, including Salesforce and Zoom, is also required.

Key Responsibilities
  • Provide support to the events team, assisting with the planning and execution of webinars, in-person events, and client social events.
  • Coordinate client social events and entertainment opportunities, including searching and sourcing new venues, restaurants, and trends.
  • Support events related to firm sponsorships and conferences, including organizing firm attendance as sponsored events.
  • Manage the event calendar, event intake forms, and checklists, prepare post-event reporting, and ROI analysis.
  • Utilize Osler event technology to create and send invitations, reminders, and track RSVPs.
  • Coordinate the drafting of invitations and creation of targeted mailing lists.
  • Oversee the production of event collateral, such as nametags, signage, PPT, handouts, and brochures.
  • Coordinate the firm's client gifting program, including regularly sourcing new and interesting products.
  • Manage event-related email boxes to ensure timely responses.
Requirements
  • A relevant university degree or college diploma, plus two years' relevant work experience in planning and executing events.
  • Experience in a professional services environment is an asset.
  • Strong customer-service orientation.
  • Ability to take ownership of projects, multi-task multiple concurrent events, and work effectively in a fast-paced environment.
  • Superior accuracy, attention to detail, creativity, time-management, and organizational skills.
  • Excellent written and oral communication skills.
  • Bilingual (English/French) considered a strong asset.
  • Some overtime may be required.

We offer a competitive salary range of $60,000 - $80,000 per year, depending on experience, plus benefits, and a dynamic work environment.
