Facilities Management Operations Coordinator

The Property Services Coordinator is responsible for overseeing the effective delivery of various services related to building operations. They provide administrative support to the Operations team in areas including Work Order Management, Health & Safety, Contract Management, Invoice Processing, and Vendor Management.
This role involves being the primary point of contact with service providers and resolving client requests in a timely manner. The coordinator maintains a database of service requests to meet reporting and analysis requirements.
They ensure contractual services are issued against corresponding POs and on-demand services are issued to work orders. This includes completing forms for various departments, developing scopes of work, and requesting quotes from service providers.
The Property Services Coordinator coordinates with contractors and building technicians to ensure proper work order and procurement processes are followed. They administer and monitor service contracts, including cleaning, and review vendor/contractor performance.
Responsibilities include preparing monthly summaries of expenses, resolving errors or inconsistencies, and ensuring health and safety policies are followed. They manage time and space of building activities to prevent conflicting safety hazards.
In addition, they verify client security requirements and ensure service providers comply before entering client spaces. Communication/Customer Services include establishing working relationships with clients and service providers.
The coordinator works with clients/tenant organizations to ensure continued communication from BMP process to operational/project activities and issues. Service Contracts / Financial Management involve reviewing problem invoices, following up with contractors, and ensuring proper billing procedures are followed.
High School Diploma with up to 1 year of relevant experience in office administration/service coordination is required. Knowledge of tendering processes, financial management software, and Microsoft Office/Oracle Cloud is an asset. Estimated salary range for this role is $45,000 - $65,000 per annum based on location and industry standards.
