Executive Office Coordinator

We are seeking an experienced and highly organized Executive Office Coordinator to join our team at CMAX OPTICAL INC. This is a full-time position that offers a competitive salary and excellent benefits.
Job DescriptionThe successful candidate will be responsible for providing administrative support to our senior management team, ensuring seamless communication and efficient workflow within the office. Key responsibilities include:
- Coordinating Information Flow: Coordinate the exchange of information between team members, ensuring timely and accurate dissemination of data.
- Mail and Material Distribution: Receive and distribute mail, packages, and other materials to the appropriate personnel.
- Operations Planning: Assist in planning and organizing daily operations, including scheduling appointments and managing calendars.
- Policies and Procedures: Develop and implement policies and procedures to enhance office efficiency and productivity.
- Meeting Support: Record minutes of meetings, seminars, and conferences, and ensure accurate distribution to relevant parties.
- Scheduling and Coordination: Schedule and confirm appointments, as well as coordinate travel arrangements and logistics.
- Customer Service: Provide exceptional customer service to internal and external clients, responding to inquiries and resolving issues in a professional manner.
- Data Management: Maintain and update digital databases, ensuring accuracy and security of sensitive information.
To be successful in this role, you will require:
- Administrative Experience: A minimum of 1 to less than 7 months of experience in an administrative role, preferably in a similar industry.
- Education: Secondary (high) school graduation certificate.
- Language: Fluency in English is essential.
We offer a comprehensive benefits package, including:
- Salary: $50,000 - $60,000 per year, depending on experience.
- Hours of Work: 30 hours per week.
