Job Summary

We are offering a competitive salary of $45,000 per annum for this position. As an Executive Office Coordinator, you will be responsible for coordinating various administrative tasks, managing office supplies, and maintaining accurate records. Your excellent communication skills and ability to multitask will enable you to provide top-notch support to our management team.

Key Responsibilities
  • Seminar and Conference Coordination: Arrange and co-ordinate seminars, conferences, etc. to facilitate knowledge sharing and collaboration among team members.
  • Information Flow Management: Coordinate the flow of information within the team to ensure seamless communication.
  • Operations Management: Direct and control daily operations, evaluate their effectiveness, and implement improvements as needed.
  • Mail and Material Distribution: Open and distribute mail and other materials to relevant personnel in a timely manner.
  • Meeting Minutes: Record and prepare minutes of meetings, seminars, and conferences to maintain a clear audit trail.
  • Scheduling: Schedule and confirm appointments with clients and internal stakeholders to ensure smooth interactions.
  • Contract Management: Manage contracts and agreements to ensure compliance and minimize risks.
  • Customer Service: Answer telephone and relay telephone calls and messages, respond to employee questions and complaints in a professional manner.
  • Data Compilation: Compile data, statistics, and other information to inform business decisions.
  • Reporting: Oversee the preparation of reports to provide insights into operational performance.
  • Advisory Role: Advise senior management on matters related to office operations and administration.
