Job Summary

The Operations Administrator plays a vital role in the back office processing and document administration for the payments & clearing function, and deposit products at DUCA Financial Services Credit Union Ltd.

Key Responsibilities

  • Process and balance daily wire transactions, including reviewing, verifying, and posting all Member and corporate outgoing wire transactions, as well as balancing daily outgoing wires settled to branch funded activity in the respective internal wire related GL accounts.
  • Process and balance daily Electronic Fund Transfer (EFT) and cheque clearing files, including reviewing, verifying, and posting/returning all rejected cheques and EFT clearing items, and balancing daily cheque and EFT clearing files to daily settlement totals by end of day.
  • Process rejected bill payments and Member requested bill payment traces/recalls, including downloading and printing all daily bill payment reports from both Universa and Central 1, depositing all rejected bill payments back to Member accounts, and processing trace/recall bill payment requests with Central 1 at the request of the Member.
  • Provide deposits administration services, including processing all registered and non-registered deposit products, reviewing daily reports to ensure Member investments are correctly processed, and preparing and mailing Member notifications.
  • Provide estate administration services, including reviewing estate packages received from branches, determining if a Certificate of Appointment is required, and processing Saving Share Insurance Claims.
  • Answer email inquiries and phone calls from branches, estate representatives, executors, lawyers, brokers, corresponding banking partners, and One Paper Lane, escalating unusual or atypical inquiries where needed.
  • Perform administrative duties, including scanning and/or filing of miscellaneous papers and other administrative tasks.

Requirements

  • 1-3 years of office or administrative experience.
  • 1-2 years of customer service experience.
  • Some post-secondary education in business or administrative studies.
  • Retail banking experience considered an asset.
