Project Information Specialist Job Description

AECOM is seeking a skilled and detail-oriented Project Information Specialist to join our Transportation Business Line staff in Winnipeg, Manitoba. The successful candidate will provide administrative support to Project Managers, Engineers, and Designers in the Winnipeg Transportation Department.

Key Responsibilities:
  • Administrative Support: Provide word processing and document preparation services, including engineering specifications, shop drawings, technical reports, and contracts.
  • Project Management Assistance: Assist Project Managers with reviewing and approving Subconsultant/Subcontractor invoices, project reviews, and supporting documentation.
  • File Management: Manage both hard copy and electronic files on servers and through cloud-based programs like SharePoint and ProjectWise.
  • Document Control: Set up and maintain document control/records management for multiple projects and Project Managers using software like SharePoint and Aconex.
  • Meetings and Coordination: Coordinate Department-level and project meetings, take minutes, and prepare slide decks.
  • Onboarding and Health and Safety: Assist in the onboarding of new staff and coordinate health and safety initiatives for the Winnipeg Transportation contingent.
  • Office Facilities: Provide office facilities support, including front-office reception coverage and supply management.
  • Quality Management: Lead projects through AECOM's Quality Management System and ensure documentation of quality control tasks is compliant with AECOM's Policies and Procedures.
Qualifications:
  • Education: Diploma/Certificate with 4 years of related administrative experience or equivalency.
  • Preferred Qualifications: At least 5 years of related administrative experience, degree or diploma in Administration, Project Management, or related field, previous experience in the consulting industry (engineering or architectural), excellent communication skills, exceptional organizational and time-management skills, ability to self-manage assignments, and ability to handle stressful situations with professionalism.
