MacEwan University is seeking a service-oriented Front Desk Associate (Administrative Support II) for a full-time continuing opportunity with our kihêw waciston Indigenous Centre. Reporting to the Supervisor, you will perform general office and reception duties and serve as the first point of contact for visitors to the Centre, which includes students, staff, faculty, and community members.
Key Responsibilities
- Greet visitors, respond to inquiries, triage issues, and provide information in person and by telephone and email.
- Schedule appointments for students to meet with the Centre's staff.
- Facilitate access to office space, including opening and closure, and maintain the appearance of the front reception area.
- Assist with word processing and spreadsheet preparation.
- Assemble, copy, and disseminate documents and materials.
- Maintain filing systems.
- Manage mail, faxes, and courier shipments.
- Manage office supplies, gifts, promotional materials, and assets.
- Support the Coordinator in dispersing communications and marketing content.
- Plan, organize, and schedule meetings.
- Schedule and coordinate Centre tours.
- Assist with event coordination and logistics.
- Assist with special projects.
Requirements
- Strong written and verbal communication skills.
- Excellent interpersonal skills, with the ability to work independently and in a team environment.
- Excellent time management and organizational skills, with a keen attention to detail and the ability to adapt to changing priorities.
- Problem-solving skills.
- The ability to exercise judgment, discretion, and tact, and handle confidential and sensitive information in an appropriate manner.
- Indigenous lived experience and an understanding of Indigenous knowledge systems and culture.
- Proficiency with Microsoft Office, Adobe Acrobat, and Google applications.
Qualifications
- A minimum of a high school diploma.
- Experience working in a post-secondary institution or a related public sector environment is preferred.
- An equivalent combination of education and experience may be considered.
