About the Role
We are seeking a highly organized and detail-oriented Facilities Coordinator to join our team at Western Financial Group. As a key member of our facilities team, you will be responsible for coordinating and overseeing various aspects of our facilities operations.
Key Responsibilities
- Scheduling and Coordination: Schedule and coordinate work requests for outside contractors, oversee the completion of assigned work and services, and ensure timely completion of tasks.
- Office Moves and Operations: Coordinate all office moves, including the setup and maintenance of common areas, to ensure a smooth transition and minimal disruption to our operations.
- Process Improvement: Recommend changes and improvements to existing standards, policies, and procedures to enhance our facilities operations and services.
- Service Request Management: Process service requests received, maintain a database of requests, and ensure that reporting and analysis requirements are met.
- Inventory Management: Monitor and order facility maintenance inventory and supplies to ensure that our facilities are well-maintained and equipped.
- Maintenance and Grounds Management: Manage the maintenance of our facilities and grounds, ensuring that service standards are met and that all work is performed in compliance with applicable local laws, rules, and regulations.
- Vendor and Contract Management: Maintain databases tracking service vendors, contracts, and facilities inventory/supplies.
Requirements
- Experience: 3-5 years of experience in facilities administration or providing facilities-focused administrative coordination.
- Designation: Designation from a recognized Facility Management Association is an asset.
- Insurance Industry Experience: Previous experience in the insurance industry is an asset.
What We Offer
- Full-Time Position: This is a full-time position, working 37.5 hours per week.
- Competitive Compensation: We offer a competitive compensation package, including a salary range of $38,000 - $53,000.
