About the Job

We are seeking a skilled Clinical Administrator to join our team at BC Mental Health & Substance Use Services in Nanaimo, BC. This is a full-time position with an estimated salary of $52,000 - $65,000 per year.

Job Description:

  1. Transcription Services: Transcribe medical dictation, including correspondence and reports, according to pre-set formats and protocols. Ensure accuracy and completeness of documents before forwarding them to designated team members or external agencies.
  2. Reception Services: Operate a multi-line reception switchboard, respond to inquiries, take messages, and redirect callers to appropriate personnel. Provide basic information about the service mandate and greet clients and visitors.
  3. Data Entry and Processing: Process referrals, enter client data into computer systems, databases, and software programs under the direction of the Supervisor. Identify duplicate records, clarify missing information, and correct errors in client demographic data.
  4. Client Chart Maintenance: Maintain client charts according to established procedures. Receive documentation, create clinical records, label material with patient information, check charts for completeness, and thin documents. Coordinate and prepare client charts for off-site storage.
  5. Scheduling and Event Tracking: Log into electronic calendars/schedules, monitor upcoming deadlines and appointment dates, and provide reminders to applicable staff as necessary.

Required Skills and Qualifications

  • Education: Grade 12 graduation from an approved program in medical transcription, one year of recent related experience, or an equivalent combination of education, training, and experience.
  • Skills and Knowledge:
    • Ability to keyboard at 60 wpm.
    • Effective communication skills, both verbally and in writing.
    • Physical ability to carry out the duties of the position.
    • Organizational skills and ability to operate related equipment.
