Job SummaryWe are seeking a highly organized and detail-oriented individual to join our team as an Office Coordinator. This role will be responsible for assisting our Travel Planners with data input, client itinerary management, and basic accounting duties.
Key Responsibilities- Correspond with clients via email and in person to provide exceptional customer service.
- Research and recommend destination, culinary, and activity options that meet client preferences and budget.
- Manage commission reconciliation and accounts receivable to ensure accurate financial records.
- Book, design, and finalize detailed itineraries, ensuring all documentation meets our company's style and format.
- Enter data into our CRM system, monitoring and reporting on booking progress, confirming and re-confirming bookings for on-trip clients.
- Issue member invoices and track trip payments to ensure timely and accurate financial transactions.
- Be available to assist clients with last-minute changes and provide exceptional customer service.
- Perform other duties as requested by management to support the growth and success of our company.
- Bachelor's degree and 1+ years of experience in the travel or hospitality industry, preferably in a client-facing role.
- Strong organizational skills with the ability to balance multiple assignments and changing priorities.
- Excellent verbal and written communication skills, with the ability to present and persuade effectively.
- Attention to detail and an instinct for managing complex logistics.
- Strong work ethic and ability to work independently with minimal supervision.
- Ability to speak multiple languages is highly regarded.
- Extensive international travel experience and knowledge is highly regarded.
