About the Role

We are seeking a highly organized and detail-oriented Office Administrator to manage the day-to-day operations of our front office and support the smooth running of our shop.

Key Responsibilities
  • Provide exceptional customer service and manage incoming calls, emails, and inquiries with professionalism and a friendly attitude.
  • Schedule appointments, maintain the shop's calendar, and coordinate customer drop-offs and pick-ups.
  • Implement new administrative procedures to improve efficiency and workflow.
  • Delegate work to office support staff and monitor task completion.
  • Oversee and coordinate office administrative procedures to ensure smooth operation.
  • Process work orders, estimates, and insurance claims documentation.
  • Coordinate office services such as accommodations, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
  • Perform data entry, maintain customer records, invoices, and parts inventory.
  • Handle billing, accounts payable/receivable, and payroll administration.
  • Monitor and evaluate administrative processes, identifying areas for improvement.
  • Resolve conflict situations that may arise with customers or team members.
Requirements
  • Minimum high-school diploma.
  • Minimum one (1) year of experience as an Office Administrator or in a similar administrative role.
  • Experience in an auto body shop or the automotive industry is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in using office software.
  • Ability to multitask and handle a fast-paced work environment.
  • Familiarity with insurance claims and repair estimates is a plus.
Work Environment

Job Types: Full-time, Permanent

Pay: $28.50 per hour

Expected hours: 30 per week

Schedule:

  • Day shift
  • Monday to Friday

Work Location: In person
