Responsibilities:

  • Provide administrative support to senior management, ensuring seamless day-to-day operations.
  • Answer telephone calls and respond to internal and external requests for information, redirecting calls to the appropriate personnel and taking messages as needed.
  • Translate and prepare internal and external correspondence, meeting minutes, and presentations, as well as other documents required by senior management.
  • Communicate and coordinate with other departments on a daily basis, fostering a collaborative and team-oriented work environment.
  • Prepare reports, documents, presentations, and letters, and conduct research as requested by senior management.
  • Schedule internal and external meetings, demonstrating the ability to manage a busy agenda and adapt to changing circumstances.
  • Coordinate logistics surrounding client visits, meetings, and entertainment, ensuring a positive and professional experience.
  • Maintain administrative procedures, including expense reports and office supplies, to ensure a well-organized and efficient work environment.
  • Receive and distribute incoming and outgoing mail, and file documents in a systematic and secure manner.
  • May be asked to take on special projects or provide support to existing initiatives.
  • Provide assistance to other departments as needed, demonstrating a commitment to teamwork and collaboration.

Requirements:

  • 3 to 5 years of experience providing support to senior management in a dynamic and fast-paced environment.
  • CEGEP diploma or post-secondary education.
  • Excellent communication skills in both French and English, with the ability to adapt to diverse communication styles.
  • Motivated, resourceful, and autonomous, with the ability to work under pressure while respecting established deadlines.
  • Attentive to details, with the ability to multitask and prioritize tasks effectively.
  • Excellent organizational and time management skills, with a working knowledge of Microsoft Office.
  • Teamwork-oriented, with excellent communication skills and a commitment to confidentiality.
