Opportunity Overview

This full-time role offers a hybrid work arrangement, subject to discussion. Reporting to the Manager of Planning (Sourcing & Product Buying), the Product Buyer collaborates with Wynford's sales team to develop client proposals, leveraging extensive knowledge of global programs and strategic sourcing in the incentive travel and events sector. The ideal candidate is a strategic thinker with a creative vision for crafting innovative global experiences, adept at working with local DMCs and hotels worldwide to create tailored proposals that captivate clients.

Qualifications

  • Completion of a degree or diploma in business, event management, or a related field.
  • Over 5 years of experience in the global Meetings and Incentive Travel sector.
  • At least 3 years in a strategic sourcing and pre-sale planning role, developing global incentive travel programs in collaboration with international hotels and DMCs.
  • Familiarity with domestic and international hotels and DMCs, including their service offerings.
  • Minimum of 2 years of experience in sourcing and negotiating hotel meeting and event contracts.
  • At least 1 year of experience with CVENT sourcing.
  • Technologically proficient, with the ability to adapt to new tools and systems.
  • Strong understanding of accounting principles, including financial statements, budgeting, and reporting.
  • Exceptional relationship-building skills with clients.
  • Deep understanding of client experience and program design.
  • Knowledgeable in best practices for planning within a third-party supplier environment.
  • Strong ethical standards and understanding of regulatory requirements, including financial regulations.
  • Commitment to continuous learning to enhance product knowledge.
  • Experience in meeting management and onsite operations is a plus.
  • Willingness and ability to travel is advantageous.

Key Responsibilities

  • Exhibit a thorough understanding of the Product Buyer role and product expertise.
  • Lead the pre-sale sourcing and contracting process for both new and existing business, collaborating closely with the Sales Director to ensure successful contract completion.
  • Guide suppliers and internal project teams to meet deadlines and deliverables, including ad hoc requests.
  • Serve as a subject matter expert on global destinations and site options.
  • Prepare accurate RFPs, program grids, and room blocks as foundational elements for each opportunity.
  • Review hotel proposals for accuracy and summarize availability details succinctly.
  • Gather necessary supplier information to create compelling, high-quality proposals.
  • Develop cost estimates and initial program budgets based on quotes and industry insights.
  • Identify and manage financial risks, utilizing risk management techniques to make informed decisions.
  • Negotiate supplier contracts to secure optimal pricing, space, and concessions.
  • Communicate program expectations and deliverables effectively to all relevant parties post-pre-sale concept approvals.
  • Organize supplier contracts and proposals for handover to the Operations team.
  • Stay informed about industry standards and trends related to responsibilities.
  • Foster and maintain supplier relationships.
  • Anticipate customer needs, empathize with their concerns, and communicate effectively to resolve issues.
