About the Role

We are seeking a highly organized and detail-oriented Property Management Coordinator to join our team at Totem recruteur de talent. As a key member of our property management team, you will be responsible for providing exceptional support to our tenants and property managers.

Key Responsibilities
  • Client Support: Serve as the primary point of contact for tenants, addressing their day-to-day needs and concerns in a timely and professional manner.
  • Tenant Records Management: Maintain accurate and up-to-date tenant records, including contact information and emergency contacts.
  • Office Administration: Manage general office tasks, such as supplies, filing, and banking, to ensure a smooth and efficient work environment.
  • Accounts Receivable: Assist with accounts receivable, including reviewing reports, processing payments, and updating records to ensure timely rent collection.
  • Communication and Coordination: Coordinate with property managers to resolve any payment issues and ensure timely rent collection.
  • Administrative Support: Prepare and code invoices, and ensure timely approval and payment.
  • Marketing Support: Assist with marketing efforts, including social media updates and promotional campaigns to promote our properties.
Requirements
  • Language Proficiency: Fluency in English and French (written and spoken) is required.
  • Experience: Previous experience in commercial real estate administration is an asset, but not required. A minimum of 5+ years of administrative experience is necessary.
  • Technical Skills: Proficiency in MS Office (Word, Excel, Outlook, Access) is required. Experience with property management software is an asset.
  • Soft Skills: Strong organizational and time management skills, with the ability to prioritize multiple tasks and work in a fast-paced environment.
