Key Responsibilities- Client Support: Serve as the primary point of contact for tenants, addressing their day-to-day needs and concerns in a timely and professional manner.
- Tenant Records Management: Maintain accurate and up-to-date tenant records, including contact information and emergency contacts.
- Office Administration: Manage general office tasks, such as supplies, filing, and banking, to ensure a smooth and efficient work environment.
- Accounts Receivable: Assist with accounts receivable, including reviewing reports, processing payments, and updating records to ensure timely rent collection.
- Communication and Coordination: Coordinate with property managers to resolve any payment issues and ensure timely rent collection.
- Administrative Support: Prepare and code invoices, and ensure timely approval and payment.
- Marketing Support: Assist with marketing efforts, including social media updates and promotional campaigns to promote our properties.
- Language Proficiency: Fluency in English and French (written and spoken) is required.
- Experience: Previous experience in commercial real estate administration is an asset, but not required. A minimum of 5+ years of administrative experience is necessary.
- Technical Skills: Proficiency in MS Office (Word, Excel, Outlook, Access) is required. Experience with property management software is an asset.
- Soft Skills: Strong organizational and time management skills, with the ability to prioritize multiple tasks and work in a fast-paced environment.
