Job Summary

We are seeking a highly skilled and organized Administrative Assistant to provide confidential and administrative support to a designated Director within the Facilities Management & Operations portfolio at Fraser Health.

Key Responsibilities
  • Provide administrative support to the Director, including triaging information, coordinating the flow of information, and ensuring accurate and timely delivery of administrative services.
  • Interact with internal and external stakeholders, including Director/Managers and their administrative support staff, to professionally represent the Director's interests and share information.
  • Work independently to manage multiple priorities, communicate effectively, and maintain confidentiality.
  • Coordinate meetings, schedules, and appointments, ensuring well-defined and timely agendas and notification to interested parties.
  • Produce reports, correspondence, and presentation materials using various software applications, and maintain and update computer databases and web pages.
  • Represent the Director's interests in administrative matters, utilizing strong communication abilities and understanding stakeholder needs.
  • Ensure dissemination of information about organizational and/or program/service procedures, processes, and status of issues to internal and external stakeholders.
  • Assist in budget development, monitoring expenditures, and analyzing and reporting variances for the program/department.
  • Maintain and process items such as timekeeping records, vacation entitlements, and inventory of stationery and supplies.
Requirements
  • Grade 12 plus graduation from a recognized administrative assistant/secretarial post-secondary program.
  • Three years' senior administrative support experience in a large complex healthcare environment, or an equivalent combination of education, training, and experience.
  • Ability to type 55 w.p.m. and proficiency with Microsoft Office applications at an intermediate level.
  • Ability to work independently, manage multiple priorities, and deal effectively with others.
