Fleet Administrator Job Description

Valard, a leading utility contractor in Canada, is seeking a highly organized and detail-oriented Fleet Administrator to join their team. As a key member of the Support Services department, you will provide administrative support for all aspects of fleet requirements.

Responsibilities:
  • Maintain accurate records of rental contracts, including terms and expiration dates, and notify relevant parties of upcoming contract renewals or terminations.
  • Generate purchase orders for rental equipment and ensure timely payment commitments.
  • Monitor and update rental equipment purchase orders in JDE, closing or canceling unnecessary orders and extending or renewing as needed.
  • Communicate with rental suppliers on various issues, as directed by the Fleet Supervisor.
  • Research and compare rental equipment costs and options to assist the Fleet Supervisor and operations team in making informed decisions.
  • Assist with rental damage claims, reviewing vendor reports and sharing findings with the Fleet Supervisor to ensure accurate liability assessment.
  • Work with on-site fleet equipment trackers to manage equipment acquisition, rental damages, and returns.
  • Maintain and update rental equipment records in JDE, taking action on returned units and seeking Fleet Supervisor input on potential acquisitions.
  • Support the Fleet Supervisor with administrative tasks, including meeting coordination and documentation.
  • Collaborate with Fleet Accounting and Fixed Assets teams to ensure accurate classification and accounting treatment of rental expenses.
  • Track and manage fleet unit certifications, generating work orders and performing related receiving functions.
  • Scan and store completed work orders in the Fleet MFiles vault or database.
  • Review unit binders for completeness and accuracy, ensuring all documentation is up-to-date.
  • Issue fuel cards as required and collect and forward documents to the Corp Fleet group.
  • Receive and distribute time and regulatory documents, including annual vehicle insurance, IFTA/Prorate documentation, and permits.
  • Create mechanic personnel timesheets in mVolts and work closely with Shop Supervisors to ensure compliance with fleet administrative tasks.
  • Manage various spreadsheets and reporting tasks, as assigned by Fleet Support Services Management.
Requirements:
  • 3-5 years of experience in office administration, with a background in fleet management an asset.
  • College diploma or equivalent, an asset but not necessary.
  • No professional designation required.
